WHAT YOU’LL DO
- Operate Zoom computerized phone system and answer all incoming calls
- Relay incoming and inter-company calls promptly and professionally
- Greet office visitors and monitor visitor log
- Maintain office security by following safety procedures and controlling access via the reception desk (employee badges, intercom system)
- Update calendars and schedule meetings
- Generate HQ name tags/badges as needed
- Assist in UPS, including but not limited to receiving, sorting, and delivering packages
- Assist the travel department with arranging travel and accommodations
- Assist the relocation department with relocating employees
- Assist with various office/clerical duties as needed
- Meets deadlines, prioritizes appropriately, copes well with change, and maintains composure under pressure
- Perform other job duties as needed
WHAT YOU’LL NEED
- High School or equivalent
- 1-2 years’ work experience as a Receptionist, Front Office Representative or similar role
- Bilingual a plus
- A dedication to meeting requirements of internal and external customers, responding to all customer requests promptly and thoroughly
- Strong communication skills include the ability to work in a team environment, give honest, direct feedback, and a solid verbal and written communicator
- Competency in computer applications including Word, Excel, Outlook, and Canva
- Experience with administrative and clerical procedures
- Regularly required to sit, stand, bend, and lift/move up to 10 pounds. May lift/move up to 50 pounds occasionally.
