SUMMARY
The Receptionist at Hi Tech Honeycomb provides a professional and welcoming first point of contact for employees, applicants, customers, vendors, and other visitors. The role manages the front desk, incoming communications, visitor access, and general administrative support while protecting confidential information and following company security, safety, and export control procedures. Dependable onsite attendance is essential because the front desk must remain appropriately covered during scheduled hours.
DUTIES AND RESPONSIBILITES
Under the direction of the Human Resource Director, the duties of this position include the following:
- Greet visitors promptly, determine the purpose of each visit, notify the appropriate employee, and provide courteous assistance while visitors wait.
- Follow company visitor control procedures, including maintaining visitor logs, issuing and collecting badges.
- Help protect controlled areas and information by following ITAR and export control instructions and immediately reporting unauthorized access or suspicious activity.
- Answer, screen, and route incoming telephone calls; take accurate messages and respond to routine questions within the scope of the position.
- Receive, sort, and distribute mail, packages, deliveries, and correspondence; coordinate outgoing mail and courier pickups as assigned.
- Maintain a clean, organized, and professional reception area and keep visitor materials and front desk supplies available.
- Provide clerical support such as data entry, copying, scanning, filing, document preparation, meeting coordination, and records organization.
- Support other departments with administrative projects while maintaining appropriate confidentiality and access controls.
- Maintain current contact lists, sign in materials, visitor forms, and other front desk records in accordance with company procedures.
- Follow emergency notification and evacuation procedures and direct visitors appropriately during drills or emergencies.
- Communicate front desk coverage needs in advance and coordinate approved breaks and absences with the supervisor.
- Comply with company policies, safety requirements, quality expectations, confidentiality obligations, and records retention practices.
- Perform other related duties and administrative assignments as needed.
QUALIFICATIONS
To perform the functions of this position successfully, an individual should demonstrate the following competencies:
- High school diploma or equivalent.
- At least one year of receptionist, customer service, office, or administrative experience preferred.
- Professional and courteous communication skills in person, by telephone, and in writing.
- Basic proficiency with Microsoft Outlook, Word, and Excel and the ability to learn company systems and office equipment.
- Ability to accurately handle several priorities, interruptions, and time sensitive requests while maintaining attention to detail.
- Ability to exercise sound judgment, maintain confidentiality, and appropriately escalate security, safety, employee, or visitor concerns.
- Reliable attendance and punctuality and the ability to work onsite for the assigned schedule.
WORK ENVIRONMENT
This position works primarily at the front desk in an aerospace manufacturing facility. The employee may periodically enter office, production, shipping, or other operational areas and may be exposed to typical manufacturing noise, moving equipment, odors, temperature changes, and required personal protective equipment. The employee must follow all posted safety and access requirements.
