About the Role:
The Receptionist serves as the first point of contact for clients, visitors, and employees, playing a crucial role in creating a welcoming and professional environment. This position is responsible for managing multi-line phone systems, efficiently directing calls, and providing accurate information to callers. The Receptionist also performs a variety of general administrative duties, including handling correspondence, scheduling appointments, and maintaining office supplies. By managing front desk operations smoothly, the Receptionist supports overall office productivity and ensures seamless communication within the organization. Ultimately, this role contributes significantly to the positive image and operational efficiency of the company.
Minimum Qualifications:
- High school diploma or equivalent.
- Proven experience as a receptionist or in a similar administrative role.
- Proficiency in handling multi-line phone systems and general office equipment.
- Strong communication and interpersonal skills.
- Ability to manage multiple tasks efficiently and maintain a professional demeanor.
Preferred Qualifications:
- Experience with office management software such as Microsoft Office Suite or Google Workspace.
- Previous experience in a fast-paced office environment.
- Basic knowledge of scheduling and calendar management tools.
- Customer service training or certification.
- Bilingual abilities or additional language skills.
Responsibilities:
- Answer and manage multiple phone lines with professional phone etiquette, directing calls to appropriate personnel or departments.
- Greet clients and visitors promptly and courteously, providing assistance and ensuring a positive first impression.
- Perform general office duties such as filing, copying, faxing, and maintaining office equipment including copy machines.
- Schedule and coordinate appointments, meetings, and conference room bookings as needed.
- Maintain a clean and organized reception area and manage incoming and outgoing mail and deliveries.
