Ideal Candidate is responsible for answering incoming calls, directing calls to appropriate staff, serving visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
- Directs visitors by maintaining employee and department directories; ensures knowledge of staff availability.
- Maintains security by following procedures; monitoring visitor logs and cameras; issuing visitor badges; giving access to “yard”.
- Maintains telecommunication system for house phone and console operation.
- Maintains safe and clean reception area by complying with procedures, rules, and regulations.
- Receive and sort mail and deliveries to appropriate departments.
- Create and distribute monthly Company Newsletter
- Coordinate Company Events, to include blood drive, Kona Ice, monthly birthdays, etc.
- Overseeing Quotes Folder by responding to client, requesting SDS, forward and provide communication for quotes to the sales representative and move to subfolder.
- Assists HR & Accounting Departments with invoice reconciliation, filing and maintenance.
- Provide general administrative and clerical support, including photocopying, faxing, mailing, Scanning Client Data, and Organizing cloud folders.
- Contributes to team effort by accomplishing related tasks as needed.
- Performs other related duties as requested.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- 1– 3 proven experience as a receptionist and administrative assistant to include, excellent telephone skills and customer service.
- Minimum of a High School diploma or equivalent
- Proficient in computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Must possess excellent verbal and written communication skills
- Must possess excellent telephone communication etiquette
- Must be professional at all time and follow professional dress code policy
- Bilingual (EN/SP) preferred.
KNOWLEDGE SKILLS AND ABILITIES
- Excellent organizational skills
- Ability to work under pressure.
- Ability to follow detailed instructions and written procedures.
- Ability to prioritize work based on safety, quality, and productivity demands.
