Position Overview:
The primary responsibility of the Receptionist is to greet visitors, residents, and employees at the Villa Life Center front desk, answer the telephone, manage petty cash funds, and perform secretarial duties for the administration and general office duties.
Essential Job Functions:
- Greet visitors, residents, and employees at the Villa Life Center Front Desk, focusing on customer service in a timely manner.
- Primary phone number for Schowalter Villa. Answer all incoming telephone calls and route to the correct parties.
- Receive payments from residents.
- Receive, distribute and forward incoming mail, memos, and messages to various departments.
- Maintain petty cash with the proper receipting and maintaining the controlled balance.
- Maintain and order supplies for the printers and copiers, postage meter, supply closet and office supplies as needed.
- Notify residents or legal representatives of bed-hold policy when resident is hospitalized.
- When notified of Independent Living residents leaving the campus for an extended period of time, submit maintenance request.
- Submit work orders to maintenance when requested
- Prepare name plates for resident rooms.
- Maintain resident information on resident listing
- Maintain Memorial Service list for chaplain
- Provide resident needs such as personal funds, mailing, making copies, giving change, taking payments, etc.
- Print all publications as directed.
- Email the Marketing Team the birthday and anniversary lists monthly.
- Order flowers for employees as requested.
- Maintain a supply of forms available at the front desk - Maintenance requests, lunch tickets, etc.
- Sort and distribute paychecks.
- Maintain donation logs.
- Manage lost and found process/storage.
- Support Vice President of HR with "Bluestem Veggies" & employee gifts and "ROSE card" processes.
- Print name badges and gift cards as needed.
- Perform COVID testing as needed.
- Maintain Christmas and special occasion decorations for the enjoyment of visitors, staff and residents and coordinate the decorating with Life Enrichment.
- Assist Executive Director as needed.
Qualifications and Experience:
- Must be at least eighteen [18] years of age
- Must have strong communication and outstanding customer service skills
- Must have prior office experience maintaining detailed, organized, and accurate records
- Must have experience exercising good judgement in a variety of situations
- Must be able to balance multiple priorities effectively and efficiently
Physical Requirements:
Light Work – Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently. Requires walking or standing to a significant degree; or requires sitting most of the time but entails pushing and/or pulling of arm or leg controls.
Skills Required
- Minimum age 18
- Strong communication and outstanding customer service skills
- Prior office experience maintaining detailed, organized, and accurate records
- Experience exercising good judgment in a variety of situations
- Ability to balance multiple priorities effectively and efficiently
