Position Summary:
The Receptionist is the first point of contact between visitors and the Lower School, and plays a key role in establishing a positive and professional environment in the Lower School.
Duties and Responsibilities:
- Greet visitors, parents, students and faculty/staff entering the Lower School from 7:30 am - 3:30 pm, have them sign in, and direct as appropriate.
- Answer the Lower School phone and distribute incoming calls, messages, and information to the appropriate class or individual.
- Receive deliveries at the reception desk and notify the proper classroom or individual by email or telephone.
- Check-in and maintain the log of all students arriving late, parents, volunteers, and other visitors daily
- Act as the point person for daily student attendance including receipt and reconciliation of daily attendance and communication with families of absent students,including attendance spreadsheet reports daily to Dean, Auxiliary, and Nurse.
- Periodically receive and distribute incoming items to be sent home with students. or bulk items to be distributed to faculty.
- Periodically generate work orders to various departments for the needs of the Lower School, its faculty/staff or students.
- Maintain accurate Lower School internal and external Google calendars and act as a primary checkpoint for calendar event conflicts.
- Adding and including edited Calendar events to the weekly Lower School newsletter, Wednesday Weekly.
- Assist the Registrar with summer classroom orders, including reconciling, labeling, organizing and distributing the orders during the summer and early Fall.
- Coordinate with the Registrar coverage for lunch/breaks, including special event days.
- Maintain a constant presence at the front desk and arrange temporary coverage when stepping away for short periods.
- Maintain professionalism and confidentiality in all interactions with faculty/staff, parents, and visitors.
- Act as the gatekeeper/entry point for all individuals entering the campus during school hours.
- Maintain a professional and clutter free workspace. including management of the reception space and surround.
- Professional dress attire is expected as the first point of contact for families.
- Create and maintain Signup Genius for homeroom, Specials classes, and for conferences.
- Provide updates for teachers on a weekly basis
- Serve as the editor of the Wednesday Weekly newsletter publication
- Coordinate Student Ambassadors scheduling of tours and tracking the students participation for turns and fairness
- Creation of yearly planner and coordinate meeting with Head and Dean to get first draft approved then continue reviews for finalization for the print of it.
- Order student placards for parents' cars so they are ready by orientation, as well as any additional placards needed throughout the year.
- Assist Dean of Students with the fire drills, lockdown drills scheduling.
- Update internal Lower phone and voicemail list and distribute.
- Check the calendar for field trip dates with teachers.
- Monitor and maintain on a daily and weekly basis the slideshow that is displayed on the 2 TVs of the Lower School lobby.
- Create and maintain student birthday lists.
- Other duties as designated by the Head of the Lower School.
Qualifications:
- A minimum of two years of college education and five years of work experience in a professional setting
- Strong verbal and written communication skills
- Knowledge of Google Suite including, Gmail, Google Calendar, Google Docs, Google Sheets
- Strong organizational skills
- A warm yet confident demeanor and a collaborative and flexible nature
- Ability and judgment to interact and communicate effectively with students, parents, and visitors
- Collegiality and a willingness to work with and collaborate with others
- Ability to multitask in a fast-paced environment
- Ability to work effectively with people of diverse backgrounds and promote a positive working environment

Physical Demands: Must be able to sit, stand, walk, bend, lift, and for the majority of the work day. May be required to lift up to 25 pounds.
