At Greencross Caloundra, we're looking for an experienced Receptionist to join our welcoming team on a part-time basis, working a minimum of 15 hours per week (approximately 3 days per week), with flexibility to work additional hours when the clinic requires extra support.

As the first friendly face our clients see and the last person they speak to before leaving, our Reception Team plays a vital role in creating a warm, supportive, and memorable experience for every pet and pet owner who walks through our doors.

We're looking for someone who genuinely enjoys reception and customer service and is looking for a long-term reception position within a veterinary environment. This role is ideal for an experienced receptionist who loves building relationships with clients, supporting a busy team, and being at the heart of a clinic's day-to-day operations.

About the Role

This is a part-time Receptionist position, offering a minimum of 15 hours per week, with additional hours available based on your availability and clinic requirements.

We're looking for someone who enjoys the reception side of veterinary practice and is happy working in a dedicated client service and administration role.

You'll be the heart of the client experience and an important part of keeping the clinic running smoothly.

Your responsibilities will include:

  • Greeting clients and patients on arrival
  • Answering phone calls and managing enquiries
  • Booking appointments using our practice management system
  • Processing payments and managing receipting
  • Managing client emails and correspondence
  • Preparing patient admission paperwork
  • Completing general administrative duties
  • Assisting with patient triage (training provided)
  • Providing general advice regarding vaccinations, nutrition, and parasite prevention
  • Preparing estimates for elective procedures
  • Supporting the veterinary and nursing teams with day-to-day clinic operations

This is a varied and rewarding role where you'll have the opportunity to build lasting relationships with clients and their pets.

About You

We're looking for someone who:

  • Has previous experience in a reception, administration, or customer service role
  • Enjoys working in a client-focused environment
  • Understands the importance of creating a positive first impression
  • Enjoys building genuine relationships with clients and their pets
  • Is looking for a reception-focused role rather than progression into veterinary nursing
  • Is available to work a minimum of 15 hours per week and can offer flexibility for additional shifts when required
  • Is confident using computer systems and learning new software
  • Has excellent organisational and time management skills
  • Can manage competing priorities and remain calm under pressure
  • Is reliable, accountable, and enjoys being part of a team
  • Communicates clearly, professionally, and empathetically
  • Takes initiative and enjoys helping others

Previous experience working in a veterinary clinic or animal-related environment is highly regarded but not essential.

Most importantly, you're someone who genuinely enjoys customer service and creating positive experiences for clients and their pets every day.
