Atlantic Housing Foundation is seeking a professional, personable, and highly organized Receptionist to serve as the first point of contact for our corporate office and provide essential administrative support to daily operations.

The ideal candidate is a dependable, proactive, and detail-oriented individual who thrives in a collaborative environment, demonstrates excellent customer service, and can effectively manage multiple priorities. This position plays an important role in creating a welcoming and professional office environment while supporting communication, coordination, and administrative functions across departments.

Work Arrangement: Hybrid

This position follows a hybrid work schedule designed to balance in-office collaboration with remote flexibility.

  • Monday & Friday: Remote

  • Tuesday - Thursday: In-office at our corporate location

Key ResponsibilitiesFront Desk & Office Administration
  • Serve as the first point of contact for visitors, employees, vendors, and external partners, ensuring a welcoming and professional experience.

  • Manage incoming telephone calls, direct inquiries to the appropriate departments, and ensure messages are communicated accurately and promptly.

  • Oversee daily reception operations, including incoming and outgoing mail, packages, deliveries, and general correspondence.

  • Maintain an organized, professional, and welcoming reception area, conference rooms, and shared office spaces.

  • Monitor and coordinate the maintenance of office equipment, including printers, copiers, and other shared resources.

  • Maintain office supply inventory, anticipate purchasing needs, place orders, track deliveries, and ensure supplies are appropriately stocked and distributed.

Meeting & Event Coordination
  • Coordinate conference room reservations, meeting logistics, and conference calls to support daily business operations.

  • Assist with scheduling, preparing, and organizing meetings for leadership and management teams.

  • Coordinate travel and logistical arrangements for quarterly company meetings, including flights, hotel accommodations, reservations, and related details.

  • Provide administrative and logistical support for company meetings, events, and other organizational initiatives as requested.

Administrative & Leadership Support
  • Provide general administrative assistance to the Chief Executive Officer, Human Resources leadership, and other members of management as needed.

  • Prepare, maintain, and update spreadsheets, documents, reports, and other administrative records with accuracy and attention to detail.

  • Process purchase requests, check requests, and related administrative documentation in accordance with company procedures.

  • Assist with data entry, document organization, correspondence, and other administrative projects.

  • Handle sensitive information with professionalism, discretion, and confidentiality.

  • Participate in monthly Best Practices calls and other relevant meetings or professional development opportunities.

  • Collaborate with team members across departments to support organizational efficiency and daily office operations.

  • Identify opportunities to improve administrative processes, enhance efficiency, and contribute to a positive workplace environment.

  • Perform other duties as assigned to support organizational needs and priorities.

Required QualificationsEducation & Experience
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.

  • Minimum of two years of experience in a receptionist, administrative assistant, front office, or similar customer-facing role.

  • Bilingual proficiency in English and Spanish is a plus but not required.

Technical Skills
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.

  • Familiarity with Google Workspace, including Gmail, Google Calendar, Google Docs, and Google Sheets.

  • Working knowledge of general office equipment, telephone systems, and mail and shipping services such as USPS, FedEx, and UPS.

  • Ability to maintain accurate records, organize digital files, and manage routine administrative documentation.

  • Comfortable learning new technology, software, and administrative processes.
