What You'll Do

Welcome patients warmly and professionally upon arrival, ensuring a seamless check-in experience that reflects the refined standard of our practice. Manage appointment scheduling, confirmations, and follow-ups across phone, email, and our online booking platform with accuracy and attention to detail. Coordinate patient flow throughout the clinic, communicating effectively with the clinical team to minimise wait times and optimise the daily schedule. Handle patient enquiries, provide information about services and procedures, and address concerns with clarity, empathy, and discretion. Maintain accurate patient records and ensure all documentation is processed, filed, and updated in compliance with data protection and healthcare privacy standards. Process payments, issue receipts, and manage billing coordination with professionalism and transparency. Ensure the reception area and waiting spaces remain impeccably presented, comfortable, and consistent with the premium environment our patients expect. Support administrative functions including correspondence, supply coordination, and internal communications as required.

What You'll Need to Succeed

A minimum of a diploma or equivalent qualification, with additional training in healthcare administration, hospitality, or office management preferred. Previous experience in a front desk, reception, or patient-facing administrative role, ideally within a healthcare, hospitality, or premium service environment. Exceptional interpersonal and communication skills, with the ability to engage with patients of all ages and backgrounds with warmth, patience, and professionalism. Strong organisational skills and the ability to manage multiple priorities simultaneously in a fast-paced environment without compromising quality or composure. Proficiency with office technology, scheduling software, and electronic record systems. A polished, professional presentation and demeanour consistent with a premium healthcare setting. Discretion and integrity when handling sensitive patient information and confidential communications.
