NEP Australia is currently looking for an Administration Assistant/Receptionist to provide support and reception cover along with related duties to assist various departments within the company. You need to have a flexible attitude and be committed to always providing a high standard of customer service.
*** This is a Permanent Part Time position working every Tuesday, Wednesday and Thursday from 09:30am to 2:30pm, 15 hours per week **
Key Responsibilities:
Concierge:
- Manage front desk operations
- Acting as the face of the company and first point of contact for all clients, staff, contractors, and trades greeting and welcoming visitors and guests.
- Managing the security pass system, issuing passes for new staff, clients, visitors and trades, ensuring everyone has completed their site induction
- Managing incoming calls/emails and redirecting/actioning as appropriate.
- Manage carparking for staff, visitors and trades on a weekly basis
Invoice Management:
Process facilities invoices and other general billing tasks like setting up vendors (working closely with the accounts payable team)
Office Administration:
- Management of incoming and outgoing mail, including Australia Post, overseas/domestic and local couriers (despatch & incoming)
- Management/replenishing/ordering of stationery, office, food & kitchen supplies for all staff. Proactively ensure all supplies are fully stocked. (and coordinate vendor services (e.g., fruit boxes).
Event support
- Catering for client meetings, monthly site morning tea for birthdays
Workplace Safety:
- Act as a First Aider and Fire Warden.
