The Project Coordinator role is designed for a detail-oriented project support professional focused strictly on coordination, documentation, and execution support. The successful candidate will assist project leadership by scheduling meetings, capturing accurate minutes, and maintaining organized project artifacts. The project coordinator will be focused heavily on clear communication, reliability, and strict adherence to established project standards.
Key Responsibilities:
Meeting & Communication Support
- Schedule and manage project meetings using Microsoft Outlook, including sending invitations, handling updates, and managing cancellations.
- Create and distribute meeting agendas in advance of scheduled sessions.
- Capture accurate meeting minutes, explicitly detailing decisions, action items, task owners, and due dates.
- Maintain and track all action items through to closure.
Documentation & Organization
- Organize and proactively maintain project documentation in designated repositories.
- Ensure all meeting artifacts (minutes, agendas, action items) are accurate, complete, and consistently formatted.
- Strictly follow established project documentation standards and templates.
Administrative Tool Management
- Log and update action items, tasks, or work items within Azure DevOps (ADO) as directed by project leadership.
Key Deliverables
- Accurate and consistently formatted meeting agendas distributed prior to meetings.
- Detailed meeting minutes published shortly after meetings conclude.
- Up-to-date action item trackers and logged ADO work items.
- Organized and securely maintained project documentation.
Requirements
- Strong attention to detail with a proven ability to ensure accuracy and follow-through on assigned tasks.
- Demonstrated ability to manage multiple administrative tasks and deadlines simultaneously.
- Clear, professional written communication skills for producing project artifacts and correspondence.
- Reliable, highly organized, and responsive to project team needs.
- Ability to strictly follow instructions, guidelines, and standard operating processes.
- Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) for scheduling, documentation, and coordination activities.
- Azure DevOps (ADO) for logging and tracking project action items and tasks.
Work Location
Harrisburg. Hybrid. 2-3 days onsite, parking will be reimbursed.
