Project Manager

Location: Oberlin, Ohio
Full-Time
Salary Range: $60,000 – $70,000 per year

Our Oberlin team plays a key role in delivering automation and service projects that support greenhouse and horticulture operations across North America.

The Role

The Project Manager provides administrative, logistical, and coordination support to the Project Management team delivering automation and service projects for greenhouse and horticulture clients.

This role ensures project documentation, scheduling, procurement tracking, and communication workflows remain organized and accurate. The Project Manager plays a critical role in keeping projects on track by supporting timelines, managing records, coordinating field activities, and maintaining communication between internal teams, vendors, and customers.

This position is ideal for a highly organized professional who thrives in a structured, fast-paced project environment.

Key Responsibilities

Project Administration and Coordination

• Maintain project files, schedules, and documentation within project management software
• Assist in developing and updating project timelines and status reports
• Track deliverables, submittals, change orders, and closeout documentation
• Prepare meeting agendas and capture meeting notes and action items
• Ensure project documentation is accurate, complete, and up to date

Procurement and Logistics Support

• Assist with purchase order creation and tracking
• Coordinate material deliveries with vendors and field teams
• Track lead times and support inventory coordination
• Monitor equipment shipments and update project schedules accordingly
• Support alignment between project timelines and material availability

Communication and Reporting

• Serve as an administrative liaison between internal stakeholders, vendors, and customers
• Provide regular project updates to internal stakeholders
• Support preparation of client-facing status reports
• Maintain organized records of contracts, proposals, and project documentation
• Facilitate clear communication across departments to ensure project alignment

Education and Experience

• Associate’s degree in Engineering, Manufacturing, Business, or related field required
• Minimum 3+ years of experience in administrative, project coordination, construction support, or technical office environments
• Experience in construction, automation, manufacturing, agriculture, or industrial environments preferred
• Familiarity with scheduling or project tracking tools preferred
• Valid driver’s license required for work-related travel

Technical Skills and Competencies

• Strong proficiency in Microsoft Office platforms, particularly Excel
• Experience with Smartsheet and/or Salesforce highly preferred
• Strong organizational and time-management skills
• Effective written and verbal communication skills
• Strong problem-solving abilities
• Ability to manage multiple priorities in a fast-paced environment
• Effective conflict resolution skills
• Flexible and focused under changing conditions
• Ability to remain calm under pressure while maintaining attention to detail
• Accountability for both accomplishments and mistakes
• Professional and collaborative approach to stakeholder communication
