Primary responsibilities
Project kickoff and scope management
Review the customer purchase order, proposal, specifications and quoted scope.
Identify deliverables, exclusions, assumptions and customer-supplied items.
Conduct internal and customer kickoff meetings.
Establish project contacts, communication requirements and reporting frequency.
Document and control changes to the original scope.
Schedule management
Develop and maintain the overall project timeline.
Establish dates for:
Concept and design reviews
Customer approvals
Engineering release
Purchasing and long-lead components
Fabrication and assembly
Electrical and pneumatic installation
Programming and debug
Runoff
Shipment and installation
Monitor progress and address schedule risks before they affect delivery.
Provide weekly status updates to management and the customer.
Customer communication
Serve as the primary commercial and scheduling contact.
Coordinate design reviews, approval drawings and runoff dates.
Follow up on customer-supplied parts, CAD data, specifications and approvals.
Clearly communicate delays, technical concerns and required decisions.
Maintain written records of customer direction and commitments.
Engineering coordination
Confirm that mechanical and controls engineering have the required customer information.
Track approval drawings, electrical drawings, pneumatic drawings and sequences of operation.
Coordinate internal design reviews with engineering, manufacturing, assembly and controls.
Ensure engineering changes are documented and communicated.
Support engineering without taking over detailed design responsibility.
Purchasing and supplier coordination
Identify long-lead and critical purchased components.
Confirm purchase requisitions are issued on schedule.
Track supplier delivery dates and late items.
Coordinate outside services such as heat treating, coating, machining and specialty tooling.
Escalate shortages or delivery problems that could affect the project.
Manufacturing and assembly coordination
Confirm drawings and BOMs are released according to schedule.
Monitor fabrication, machining, assembly and electrical build progress.
Conduct regular floor reviews with department leads.
Identify missing information, parts or resources.
Coordinate priorities when several projects require the same personnel or equipment.
Financial management
Track actual spending and labor hours against the project budget.
Review engineering, manufacturing, assembly and controls hours.
Identify potential cost overruns early.
Obtain customer authorization for out-of-scope work before proceeding.
Prepare change-order documentation and support invoicing milestones.
Risk and issue management
Maintain an open-items and risk list.
Assign responsibility and due dates for each action item.
Escalate unresolved technical, commercial or scheduling problems.
Coordinate recovery plans when a project falls behind.
Ensure decisions are documented and distributed to the appropriate personnel.
Testing and runoff
Confirm adequate customer parts are available for testing.
Make sure equipment is mechanically and electrically ready before scheduling runoff.
Coordinate internal testing, customer runoff and acceptance documentation.
Track runoff punch-list items through completion.
Confirm manuals, spare-parts lists and required documentation are ready.
Shipment, installation and closeout
Confirm shipping requirements and installation dates.
Coordinate field personnel, travel, tools and installation equipment.
Verify that open items are completed before shipment or formally documented.
Track installation, startup and production-support activities.
Obtain final customer acceptance.
Conduct project closeout and document lessons learned.

Spectrum Automation is a Michigan manufacturer of custom specialty parts-feeding and material-handling systems for specialized production applications. Founded in 1969, it designs, develops, and manufactures equipment such as small-parts, rod, large-parts, magnetic, and lazy-Susan feeders, conveyors, floorbin elevators, assembly units, and parts-orienting systems. Its solutions serve diverse industries, including automotive, farm implements, fasteners, medical, hardware, food and beverage, aerospace, and munitions.
