JOB SUMMARY
The Marketing Project Manager reports to the Senior Director, Marketing Operations and supports the execution of the marketing operations strategy by managing the intake, prioritization, planning, and delivery of marketing projects and initiatives. Working across Communications, Creative, Growth Marketing, Product Marketing, Marketing Operations, external partners, and business teams, this role coordinates work from kickoff through completion, maintains detailed project visibility, and helps ensure high-quality work is delivered on schedule and in alignment with business and revenue-driving priorities.
This highly detail-oriented role translates marketing leadership’s strategic direction into organized plans, workflows, documentation, reporting, and follow-through. The Marketing Project Manager helps operationalize centralized delivery, structured intake and prioritization, campaign briefing, review and approvals, channel handoffs, scalable self-service resources, agency coordination, performance measurement, and continuous operational improvement. Success is reflected in accurate project records, reliable delivery, transparent stakeholder communication, effective resource and risk management, and sustained adoption of efficient ways of working as organizational needs evolve.
KEY RESPONSIBILITIES
- Support the Senior Director, Marketing Operations in operationalizing a centralized marketing delivery model by developing and improving intake processes, workflows, standards, templates, governance practices, and project-management best practices.
- Administer structured intake and prioritization for marketing requests, confirming that objectives, audiences, KPIs, messaging, channels, deliverables, timelines, owners, dependencies, approvals, and success measures are complete and accurately documented.
- Translate strategic campaign priorities into detailed briefs and executable project plans, schedules, milestones, budgets, resource assignments, review cycles, and structured handoffs to channel owners.
- Coordinate work across Communications, Creative, Marketing Operations, Product Marketing, Growth Marketing, and business stakeholders to maintain alignment, sequencing, accountability, and readiness for execution.
- Facilitate project kickoff meetings, status meetings, reviews, approvals, and regular check-ins, documenting decisions and driving timely follow-through on action items.
- Prepare precise, timely project dashboards and leadership updates that summarize status, decisions, risks, resource needs, delivery performance, and recommended next steps.
- Monitor schedules, budgets, dependencies, risks, issues, resource capacity, quality and rework, on-time delivery, service-level adherence, and campaign readiness; proactively adjust plans, remove blockers, and escalate issues to the Senior Director as needed.
- Maintain a centralized, highly accurate source of truth for briefs, plans, status updates, approvals, assets, decisions, and project records, using Microsoft 365 applications, Microsoft Lists, Smartsheet, Jira, and other project-management platforms as appropriate.
- Support self-service and scalable delivery by maintaining templates, toolkits, playbooks, and repeatable workflows; use Agile principles and project-management technology to improve adoption, visibility, resource planning, and delivery efficiency.
- Perform other duties as assigned to support team and organizational objectives.
- Comply with all company policies, procedures, and applicable regulatory requirements.
QUALIFICATIONS
- Bachelor's degree in Marketing, Communications, Business, or a related field.
- 10+ years of professional experience, including at least 5 years managing marketing projects, campaigns, or cross-functional initiatives.
- Proven ability to manage multiple deadline-driven projects, balance competing priorities, and support teams as requirements and projects evolve.
- Experience managing project intake and prioritization while aligning stakeholder expectations across cross-functional teams.
- Experience applying Agile principles or iterative delivery practices to marketing work.
- Exceptional attention to detail, with strong written, verbal, facilitation, interpersonal, organizational, proofreading, and documentation skills.
- Demonstrated proficiency with Microsoft 365 applications, including Microsoft Lists, plus Smartsheet, Jira, and other project-management or work-management platforms.
- Proven ability to learn and administer multiple applications, maintain accurate data across systems, identify process improvements, and implement more efficient and scalable ways of working.
- Equivalent combination of education and experience may be considered.
Preferred:
- Agency project management experience.
- Project management training or certification, such as PMP.
- Experience in healthcare, biotechnology, diagnostics, or another regulated industry.
- Experience supporting integrated campaigns, creative operations, or an internal agency-style marketing team.
