Hotspex Media is hiring for the open role of a full-time, permanent Analytics Project Manager. As the Analytics Project Manager, you are the operational heartbeat of the data team. You bridge the gap between our three cross-functional ad pods, our clients, and our technical analysts. Your mission is to ensure that every analytics project is scoped accurately, scheduled realistically, and communicated clearly. You are responsible for protecting the technical team’s deep-work time while providing clients and stakeholders with world-class visibility into project progress.
Key ResponsibilitiesClient Communication & Expectation Management
Workback Schedules: Develop and manage detailed project timelines (workback schedules) for all major analytics initiatives, ensuring clients and internal teams are aligned on delivery dates.
Client Liaison: Act as the primary point of contact for client-side project managers regarding project status, timelines, and resource availability.
Support & Syncs: Facilitate client kickoffs and weekly syncs. Translate technical milestones into clear, business-focused progress reports for stakeholders.
SOW Documentation: Draft Statements of Work (SOWs) and project briefs that clearly define scope, preventing "scope creep" and ensuring team alignment.
Workflow Architecture & Pod Coordination
Systems Ownership: High-level administration of Airtable and Linear. You will optimize these platforms to create a "single source of truth" for all three ad pods.
Intake & Prioritization: Manage the "front door" for all data requests. Vet incoming tickets for clarity and completeness before assigning them to the technical team.
Capacity Tracking: Monitor analyst bandwidth across the three pods, proactively identifying risks to deadlines and working with leadership to rebalance resources.
Strategic Partnership & Leadership
Operational "Right Hand": Partner closely with the Manager, Reporting to execute daily workflow strategies and handle all non-technical project logistics.
Reporting Structure: This role formally reports to the Director, Data Enablement, with a daily dotted-line collaboration with the Manager, Reporting.
Experience: 3–5 years of project management or account coordination experience with an emphasis on analytics. Experience in a media or advertising agency is a plus.
Client Service DNA: You excel at managing expectations and can deliver difficult news (like a timeline shift) with professionalism and a solution-oriented mindset.
The "Workback" Expert: You are a pro at starting from a launch date and mapping out every dependency and milestone required to get there.
Platform Literacy: Proficiency with PM tools like Airtable and Linear (or equivalent tools like Jira or Asana).
Language Skills: You can "speak data" enough to understand what an analyst does, but your real talent is "speaking client" to ensure they feel supported and informed.
