We are seeking a talented and experienced Project Coordinator to join dynamic team for real estate development company in Dubai to support the successful delivery of branded residential and hospitality (hotel/resort) developments in the region. The role involves day-to-day coordination between internal departments, external consultants, hotel operators, and contractors to ensure that design, development, and construction activities align with project objectives, brand requirements, and regulatory standards.

This is a cross-functional role ideal for a detail-oriented professional with experience in high-end real estate and luxury hospitality developments.

Key Responsibilities:
  • Support the Project Director in coordinating all phases of the project lifecycle from concept to handover.
  • Assist in preparing project workflows, tracking milestones, and monitoring deliverables.
  • Maintain project documentation, including meeting minutes, submittal logs, progress reports, and correspondence.
  • Prepare, organize, and follow up on project presentations, reports, and dashboards for internal and external stakeholders.
  • Schedule, organize, and document internal and external meetings with consultants, contractors, and operators.
  • Support in drafting scope of works, RFPs, consultant contracts, and documentation reviews as required by the Project Director
  • Support value engineering exercises and ensure changes are documented, communicated, and approved.
  • Coordinate with architectural, interior design, landscape, MEP, and structural consultants to ensure alignment with project vision and brand guidelines.
  • Facilitate timely holistic review and consolidation of consultant submissions (drawings, reports, specifications).
  • Track and follow up on design deliverables and ensure deadlines are met.
  • Assist in reviewing design packages for compliance with hotel operator standards and branded residential guidelines.
  • Liaise as required with the hotel operator/brand partner to facilitate approvals and align with brand-specific requirements.
  • Coordinate submission and comment trackers for mock-up rooms, submission reviews etc


Requirements

  • Deep experience and knowledge in managing design consultants from various technical disciplines.

Skills Required

  • Experience in high-end real estate and luxury hospitality developments
  • Extensive experience in complete project lifecycle (concept to handover)
  • Deep experience managing design consultants across architectural, interior, landscape, MEP, and structural disciplines
  • Ability to prepare and track project documentation including meeting minutes, submittal logs, progress reports, and correspondence
  • Experience preparing scope of works, RFPs, and consultant contracts
  • Proven ability to coordinate with hotel operators/brand partners for approvals and compliance
  • Strong stakeholder management and ability to drive stakeholders with conflicting priorities
  • Proactive, self-motivated, solutions-focused, and able to work with minimal support
  • Detail-oriented, assertive, and capable of overcoming problems to find solutions
