DeanHouston, one of the largest B2B marketing agencies in the US, is currently looking to add a Project Coordinator to our team.
Role SummaryAs a Project Coordinator, you’ll support the day-to-day execution of marketing projects by managing administrative tasks, maintaining project documentation, and ensuring teams stay organized and on schedule. This role is focused on coordination, tracking and follow-through.
You’ll work closely with Client Success Managers (CSMs) to keep projects moving efficiently and ensure nothing falls through the cracks.
Responsibilities Project & Workflow Support- Maintain and update project information in Workamajig and/or Asana
- Track project timelines, deadlines, budgets and task progress
- Ensure all project documentation is organized, complete, and up to date
- Follow established workflows and processes to support smooth project execution
- Assist in setting up projects, including timelines, tasks, and file structures
- Schedule meetings and send calendar invites
- Share project updates, timelines, and task assignments as directed
- Follow up with team members on assigned tasks and deadlines
- Assist with organizing deliverables for internal review and final delivery
- Support CSMs by handling day-to-day administrative responsibilities
- Maintain organized records of project activities and communications
- Assist with routing approvals and tracking feedback
- Flag potential delays or missing information to the appropriate team members
- Provide regular project status updates to internal teams
- Communicate deadlines, updates, and changes clearly and accurately
- Track basic workflow metrics and project progress
- Ensure project communications are documented and accessible
- Projects are well-organized, documented, and easy for teams to navigate
- Deadlines and tasks are clearly tracked and communicated
- Teams receive timely follow-ups and reminders
- Administrative tasks are handled efficiently, allowing CSMs to focus on client relationships
- Workflow runs smoothly with strong attention to detail
- 0–2 years of experience in an administrative, project support, or coordination role
- Strong organizational and time management skills
- High attention to detail and ability to follow established processes
- Ability to manage multiple tasks in a fast-paced environment
- Clear and professional communication skills
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
- Experience in a marketing, agency, or client service environment
- Familiarity with project management tools such as Asana or Workamajig
- Associate or bachelor’s degree in business, communications, or related field
- We collaborate in person on Mondays and Fridays and offer the flexibility to work remotely one day per week between Tuesday and Thursday

The total target compensation for this role is $40,000 – $50,000 USD annually, commensurate with experience and internal equity.
