SUMMARY

The Exploratorium has been a professional home and hub for preK-12 teachers and leaders and a local laboratory for global science learning for decades. The Exploratorium Teaching & Learning Department works with educators and leaders in both formal and informal settings to create and facilitate transformative learning experiences for educators that impact science teaching and learning. Our team’s inquiry-based pedagogy is foundational to the work of the Exploratorium. We work with formal and informal educators around the world, prioritizing the San Francisco Bay Area and California as well as the needs of undersupported teachers, leaders, and learners.


The Project Coordinator is a key administrative support position for the team, and is responsible for providing administrative, logistical, and financial coordination for projects housed within the Teaching & Learning Department. This position reports to the Director, PK-12 Teacher Professional Learning.



ESSENTIAL FUNCTIONS

Project Support

  • Monitor and support the management of projects and events, and coordinate all team members involved to keep timelines, scheduling and workflow on track; serve as back-up when needed
  • Coordinate supplies, space, schedules, catering and logistics for workshops, meetings and other events or special projects

Administrative Support

  • Process and track invoices, reimbursements and participant stipends, and manage monthly credit card reconciliation process
  • Assist with contract administration, budget preparation, tracking and reclassifying expenses and revenue
  • Maintain and populate the Teaching & Learning Salesforce database, prepare and generate data for reporting purposes

Communication

  • Manage workshops and event registration and communication, serve as a contact point for participants, visitors and other internal and external stakeholders requesting assistance or information about Teaching & Learning programs 
  • Serve as the primary point of contact for alumni and other educators requesting assistance or information about Teaching & Learning programs
  • Coordinate and maintain written information and updates about Teaching & Learning programs for internal and external audiences
  • Perform additional duties as assigned

 


MINIMUM QUALIFICATIONS

  • BA/BS degree and three years of administrative experience OR an equivalent combination of education and work experience
  • Prior experience in project and event coordination, particularly in a non-profit institutional or educational setting
  • Excellent interpersonal, communications and problem-solving skills
  • Exceptional organizational and time management skills; precise and detail-oriented; able
  • to multi-task and handle multiple priorities
  • Strong computer skills, including Google Workspace and database experience
  • Experience with budgets, expenses and simple accounting
  • Ability to work independently and in a team environment
  • Ability to represent the Teaching & Learning Department in a positive and professional manner, and to provide outstanding service to all visitors; self-motivated, flexible individual with strong communication and leadership skills
  • Ability to work on some weekends, evenings, and early mornings

PREFERRED QUALIFICATIONS

  • Experience working with Salesforce

This is a regular, full-time (37.5 hours per week), exempt, union position that includes benefits. The starting range for this role is $41.37 to $43.79.
