Job Summary

We are seeking a Project Coordinator for our growing team in the Greater Toronto Area.

Responsibilities & Qualifications

Key Responsibilities:

  • Oversee engineering services for construction services for client in field office, studies, design and office services during construction.

  • Monitor the daily progress of projects under a large program

  • Assist Project Managers in preparing and managing subconsultant agreements, invoicing, risk registers, EAC, forecasting, schedules and other project management duties as required.

  • Review and verify subconsultant invoices for accuracy and compliance with contractual terms.

  • Prepare and submit invoices in coordination with project managers, including detailed review of approved contract rates and compiling backup documentation.

  • Track and follow up on accounts receivable (AR) to ensure timely payments.

  • Support the opening and closing of task orders, ensuring proper documentation and approval.

  • Assist with tracking and processing change orders, ensuring they are properly documented and communicated.

  • Coordinate with internal teams and subconsultants to resolve any issues or delays.

  • Generate reports and updates on project progress, financial status, and milestone tracking for management review.

  • Prepare detailed meeting agendas and minutes for distribution, and follow up on action items

  • Manage project documents through detailed record keeping practices.

Qualifications:

  • Bachelor’s degree in engineering, Construction Management, or a related field (or equivalent experience).

  • 4+ years of experience in project coordination, preferably in construction or engineering projects involving multiple task orders and subconsultants.

  • Experience with invoicing, accounts receivable, and tracking project finances, preferably in Deltek.

  • Excellent communication and interpersonal skills, with the ability to work with multiple stakeholders, including subconsultants, clients, and internal teams.

  • Strong organizational and spreadsheet skills with attention to detail and the ability to manage multiple priorities effectively.
