Monarch Electric is seeking a detail-oriented Project Coordinator to work closely with the Project Manager in monitoring data-center switchgear projects from project award through equipment delivery, commissioning, and final turnover to the owner.  We are also looking for an individual to help with the core business and infrastructure projects in both NY and NJ.

The Project Coordinator’s primary responsibility will be to keep projects on schedule by closely tracking submittals, approvals, returned comments, vendor deliverables, equipment-production milestones, and project documentation. This individual will help ensure that all items requiring action by Monarch Electric are addressed promptly so that project delays do not occur because of outstanding responses or documentation from Monarch Electric.

The successful candidate will be highly organized, proactive, and capable of maintaining consistent follow-up across multiple projects and deadlines.


Key Responsibilities:

  • Assist the Project Manager in monitoring data-center switchgear projects from award through commissioning and final turnover

  • Maintain and regularly update project schedules, procurement logs, submittal logs, and action-item lists

  • Track switchgear submittals from initial submission through review, return, revision, resubmission, and final approval

  • Promptly route returned submittals, review comments, and requested revisions to the appropriate parties

  • Monitor outstanding submittal responses and follow up to ensure required actions are completed without delay

  • Confirm that Monarch Electric’s responses, resubmissions, and supporting documentation are provided within the required timeframes

  • Track equipment-release dates, production milestones, testing dates, shipping dates, and required vendor deliverables

  • Follow up regularly with vendors to obtain current schedule and production-status updates

  • Compare vendor timelines against the project schedule and immediately communicate potential delays to the Project Manager

  • Maintain clear records of communications, commitments, deadlines, and completed actions

  • Coordinate project meetings, prepare agendas, record meeting notes, and distribute follow-up items

  • Monitor requests for information, change documentation, equipment records, and other project correspondence

  • Assist with coordinating factory testing, delivery, startup, commissioning, and closeout activities

  • Track operation and maintenance manuals, testing reports, warranty documents, and other turnover requirements

  • Support the Project Manager in keeping internal teams, vendors, customers, and field personnel informed of project status

  • Maintain Monarch Electric’s standards for safety, quality, responsiveness, and customer service

Skills & Qualifications:

  • Previous experience in project coordination, electrical construction, switchgear procurement, or a related field preferred

  • Familiarity with electrical switchgear, power-distribution equipment, or data-center construction is preferred

  • Experience managing submittals, schedules, procurement logs, or construction documentation

  • Strong organizational and time-management skills

  • Excellent written and verbal communication skills

  • Ability to manage multiple projects, deadlines, and outstanding action items

  • Strong attention to detail and consistent follow-through

  • Ability to recognize scheduling risks and escalate them promptly

  • Proficiency with AI tools such as Chat-GPT preferred

  • Experience with construction-management or project-tracking software is preferred

  • High school diploma or equivalent required; relevant college education or industry training is preferred

Pay Range

$31.25-40.75 per hour
