Description
Overall Responsibility: Responsible to provide overall administrative support for an office site, particularly as it relates to liaison work between Company and clients, visitors, and others outside of the Company work environment. This role often serves as first impression for visitors to the business.
Essential Functions:
- Supports the Director, Project Managers, and Discipline Leads as directed, in the drafting and issuance of the following:
- Project proposals
- Project documentation
- Project schedules (milestones and deliverables)
- Plans
- Reports
- Meeting Notes
- Quality Control tracking and internal follow up
- Day-to-day project tasks, as needed
- Client communications, with direction from the Director or Director's designee(s).
- Effectively and accurately communicates relevant project information internally to the Arora Project Team(s).
- When functioning as the only Administrator in the office, also:
- Supports the office with the production of documents.
- Prepares and ensures accuracy of all incoming and outgoing mailings including but not limited to: preparing private delivery service and USPS packaging/postage, ensuring mailing deadlines are met and ensuring mailing logs are accurately maintained.
- Maintains correct inventories of office supplies including safety tools and equipment.
- When directed, orders, sets-up and cleans up food/beverages for guests, or meetings.
Secondary Functions:
- Duties as assigned by the Office Director, Project Managers, and Discipline Leads.
Qualifications
Education/Experience Minimum:
- Background in A/E or Construction field.
- AA preferred, Bachelor's highly preferred
- 3 years progressive responsibility with program assistant or office management duties.
Needed Skills:
- Background in A/E industry preferred.
- Proficient in MS Office Suite: WORD; EXCEL, etc.
- Ability to maintain confidentiality.
- Excellent communications, particularly phone skills, written and spoken English.
- Ability to initiate communications to all levels of audience.
- Ability to work as a team member.
- Ability to create and maintain professional working relationships with colleagues, vendors, and visitors.
- Excellent command of the English language - spoken and written.
- Ability to obtain and maintain appropriate security status.
- Detail oriented.
- Holds a legal right to work in US.
