Location: Asunción, Paraguay
The Project Coordinator is responsible for governance, reporting, coordination, and support activities across the delivery portfolio. This role ensures data hygiene and process compliance in the systems, drives timely budget approvals, maintains accurate documentation, and supports purchasing and PM operations during peak demand. The coordinator is a key enabler of project setup, control, and closure, working cross-functionally with PMs, SCM, Finance, and Vendor Management.
Key Responsibilities
Governance
· Maintain System hygiene and ensure timely project updates.
· Trigger and track PRs (Purchase Requests) per governance requirements.
· Execute the Governance Process for project set-up, milestone creation and updates, documentation control, and InSide system notifications.
· Support Warehousing module (TBC) and stock migration activities as defined.
· Perform Vendor analysis and follow-up in the system, ensuring documentation, CCRP steps, and onboarding with mandatory artifacts.
Reporting
· Manage Timesheet reporting and weekly control.
· Produce weekly reports and PM notifications.
· Deliver general portfolio reporting including weekly updates and bi-weekly reports (Backlog, Invoicing, Cost consumption).
· Coordinate project closure reporting and ensure final data accuracy.
Coordination
· Track project set-up to ensure requests contain all necessary information; identify opportunities that need project creation but lack a formal request.
· Ensure project dates are updated in all the systems.
· Follow up on budget approvals and proactively mitigate delays.
· Ensure audit documentation is uploaded into the system (including file migration per project).
· Drive the closure process for projects, validating milestones, documents, and system status.
Support
· Provide purchasing support during periods of high demand.
· Perform budget troubleshooting and resolve related issues.
· Troubleshooting
· Provide timesheet support to PMs and team members.
· Support PMs with file migration and milestone closure tasks.
Required Qualifications
· Experience in Project Coordination, PMO, or Operations roles.
· Strong proficiency with InSide and Oracle (EBS).
· Experience in back-office activities, including data management and the use of internal systems.
· Excellent skills in Excel (pivot tables, lookups), and familiarity with PowerPoint/Word; Power BI is a plus.
· Strong organization, attention to detail, and ability to manage multiple stakeholders.
· Ability to communicate effectively with PMs, Finance, CSM, and Vendor Management.
· Bilingual: Spanish and English (written and spoken).
