Overview
We are seeking a highly organised and
proactive Project Assistant to support executive management across a
group of companies. The primary focus of this role is to assist with the
coordination and execution of projects, ensuring deadlines are met and
objectives are achieved.
In addition, the Project Assistant will manage
a range of administrative responsibilities, balancing operational priorities
while adapting to the evolving needs of management. The ideal candidate will
demonstrate versatility, discretion, and the ability to handle both
project-based and administrative tasks in a fast-paced business environment.
Working
Hours
· Full-time
· Occasional availability may be required
outside standard working hours to support urgent project deadlines, executive
schedules, or site visits.
· Some travel within Nigeria may be required
depending on project needs.
Key
Responsibilities
· Coordinate the execution of multiple projects
by tracking progress, managing timelines, and supporting management in
achieving project objectives across various business units.
· Organise and facilitate meetings,
appointments, and project review sessions with relevant stakeholders, ensuring
effective communication and proper documentation.
· Arrange travel and logistics for executives
and project teams, including site visits, business trips, and conferences.
· Screen and manage phone calls, emails, and
correspondence, liaising professionally with clients, partners, contractors,
and internal teams across different companies.
· Prepare reports, presentations, and
project-related documentation to support management decisions and maintain
company standards.
· Follow up with relevant teams, consultants,
and vendors to ensure deliverables are completed within agreed timelines.
· Assist with general administrative functions,
including compliance documentation, operational paperwork, and ad hoc tasks or
errands for executives when required.

Performance in this role will be measured
using the following indicators:
· Project coordination efficiency and timely
follow-up on assigned tasks.
· Percentage of project milestones achieved
within agreed timelines.
· Accuracy and quality of reports,
documentation, and executive support provided.

communication.
· Effective management of executive schedules
and meetings with minimal conflicts.
· Initiative in identifying and resolving
operational or project-related challenges.
· Professional conduct, discretion, and
stakeholder management.
Requirements
Required
Skills and Qualifications
· Proven experience as a Personal Assistant,
Executive Assistant, or Project Assistant, preferably within an architectural,
engineering, construction, real estate, or project-driven organization.
· A minimum of a Bachelor’s degree recognized
institution.
· Excellent organizational, communication, and
interpersonal skills, with the ability to work in a fast-paced environment.
· Strong IT proficiency, including Microsoft
Office Suite or Google Workspace.
· Ability to work independently, exercise sound
judgement, and prioritize tasks effectively in a deadline-driven setting.
· High level of discretion, professionalism, and
reliability.
· A proactive, solution-oriented mindset with the
ability to take initiative and ensure tasks are completed effectively.
Additional
Advantage
· Prior experience supporting senior executives
or managing multiple projects simultaneously.
· Familiarity with project coordination within
Nigerian business or construction environments.
· Ability to manage multiple stakeholders across
different companies within a group structure.
Skills Required
