ABOUT US:

ISAT Total Support /Tomarco Contractor Specialties LLP, is a leading provider of seismic engineering consulting services and the related products and hardware used for nonstructural seismic bracing and the support of Mechanical, Electrical, and Piping systems. Our focus is geared toward building utility systems within the commercial and industrial construction markets. Our primary focus includes but is not limited to, HVAC, mechanical, piping, distributed electrical systems, plumbing, process piping & fire protection contractors.

Headquartered in Southern California, ISAT also has offices in Northern California, Nevada, Arizona, Oregon, Washington, Utah, Georgia, North Carolina, Chicago, Atlanta, New Zealand, New York, Texas, and Puerto Rico. Additional expansion is expected.

 

SUMMARY and PURPOSE:

The primary role of the Project Assistant (PA) is to maximize the efficiency of the Project Management team while maintaining excellent communication between customers, PM, and design staff. In this role you will work with the ISAT Project Management, Technical, and Administrative staff to optimize the success and profitability of the project, assisting with organization, document control, tracking timelines, and billing. As a PA you share the responsibility of establishing, maintaining, and enforcing the policies, procedures, and systems (both local and corporate) necessary for the long-term operational success of the technical side of our business. RESPONSIBILITIES OF THE POSITION:

 

  • Maintain and organize all project folders and digital files.
  • Ensure documentation is complete, up-to-date, and easily accessible.
  • Notify Project Managers when information is missing, outdated, or requires updates.
  • Become deeply knowledgeable regarding internal Project Management Software (Nexus) and support PM’s in managing information and tracking projects through this system.
  • Assist with billing processes by tracking invoice status and following up with relevant stakeholders.
  • Support the preparation and submission of billing documentation.
  • Assist in executing large material orders in coordination with vendors and internal teams; this includes working with VI and PM teams to create and track orders.
  • Work closely with the ISAT administrative support staff to create sales orders, material releases, and submit requests to vendors. PA’s help keep track of all orders to ensure they are billed out properly.
  • Log and update status reports and percent-complete trackers for ongoing material requisitions.
  • Provide daily status updates to the project team on the engineering job queue, following up on deadlines and priorities for engineering staff.
  • Provide administrative support to Project Managers and other team members.
  • Participate in team meetings and contribute to process improvement initiatives.
  • Keep a clean and organized work environment.
  • This is a new position and is a work in progress. The team members will be asked to     perform duties not listed in this job offer, but which are also considered to be essential to the employment position.

  • Assist with the training of all new employees at the branch. Have working knowledge of all training documents and how to assign them to new employees. Provide firsthand teaching and guidance to reinforce their training and growth. 
  • Develop customer relations and communication skills and perform presentations to contractors, general contractors, owners, inspectors, etc. 
  • Able to speak on ISAT’s behalf in all forms of correspondence and face-to-face meetings. Most importantly, representing ISAT Total Support in front of any audience and able to answer or derive workable solutions to a host of different issues.
  • Understand building codes, ISAT manuals, and associated engineering. 

 

QUALIFICATIONS & SKILLS:

 

High school diploma or equivalent; associate or bachelor’s degree preferred.

1-2 years of experience in a project support or administrative role.

Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

Experience with Bluebeam and Procore is a plus.

Strong diligence and organizational skills.

 Excellent written and verbal communication abilities.

Ability to manage multiple tasks and meet deadlines in a fast-paced environment.

 

Further Qualifications — The successful candidate must also pass a background check.
