We are seeking a Project Assistant to support our Project Execution Team and help ensure the smooth and efficient operation of project administration activities. The appointee will be responsible for the following duties:
- Provide day-to-day administrative and coordination support to the project team (Project Manager, site staff, contractors) to ensure site and office activities are followed up in a timely manner.
- Coordinate project and site meetings (e.g., progress meetings, contractor coordination meetings)
- Maintain project document control, including incoming/outgoing correspondence, transmittals, RFIs, submittals, method statements, material approvals, and updated drawing registers, in accordance with project procedures.
- Support procurement and site logistics administration, including purchase requisitions in Oracle system and coordination of access/permits/transport with contractors as required.
- Assist with coordination on safety-related documents submissions as required, and support audits by ensuring documents are complete and readily retrievable.
- Support information development and management for project management framework
Requirements:
- Recognized Diploma or above in Business Administration, Project Management, or a related discipline
- Minimum of 3 years’ relevant project support experience
- Proficient in MS Word, Excel, and PowerPoint
- Strong organizational, communication, and interpersonal skills
- Well organized, able to work independently in a fast-paced environment and under pressure
- Experience supporting engineering, construction, or project teams is preferred
- Experience with Oracle or similar systems for project or procurement administration is an advantage
- Excellent written and spoken English and Chinese
