Reporting to the Director of Project Management, this role supports the Project Management and Accounting departments by ensuring both required resources and information are available to the right people to assist with completing projects within expected timelines and budgets. This role's activities are primarily centered around the planning, organizing, and completion of tasks directly relating to project operations.

ESSENTIAL RESPONSIBILITIES/FUNCTIONS may include but are not limited to:

  • Acts as administrative support to the Project Management and Accounting teams, including administrative tasks such as generating reports and assisting with invoicing tasks
  • Effectively focus on process details by receiving, interpreting and executing project budget and billing input from internal and external clients
  • Generates and deciphers operations reports as needed including but not limited to Salesforce reports, financial performance reports (EAC's), projected sales revenue reports, data review and any follow up reports requested that help with tracking internal project progress and troubleshooting.
  • Maintains time and data entry ownership for assigned departments through Wrike and Sage
  • Helps prepare internal process documents to support the PM team, including but not limited to project change orders, schedules and presentations as needed
  • Prepares meeting agendas, coordinates and relays communication from internal client kick-off meetings, with formal meeting minutes to all designated individuals
  • Acts as administrative support between the HR and installation operations teams for project installation reporting as needed
  • Leads project management billing efforts and coordinates with Accounting department on assigned projects
  • Maintains construction billing portals and activities for assigned projects
  • Supports departmental logistics, such as scheduling travel arrangements and coordinates meetings based on needs of the PM team or clients.
  • Maintains project files and data via Evernote, Google Drive, Salesforce, Bluebeam, Dropbox, Concur and Project Management drive
  • Reports and escalates any issues to the Director of Project Management in a timely manner, as needed.
  • Ensures the confidentiality and security of company's financial information
  • Performs other related duties as assigned

KNOWLEDGE/SKILLS/ABILITIES

  • Ability to effectively use online systems to track and monitor client projects, organize priorities, and manage calendar milestones
  • Proficient in Microsoft Office Suite or related software as well as other accounting software programs
  • Ability to perform basic Excel spreadsheet functions and formulas
  • Excellent attention to detail and data integrity in a fast-paced and deadline driven environment
  • Ability to independently multi-task, work under pressure and meet deadlines
  • Possess an authentic team player attitude and always be willing to help
  • Excellent communication skills, both written and verbal that demonstrate solution-oriented components
  • Prior exposure to billing activities

EDUCATION/CERTIFICATIONS/EXPERIENCE

  • Bachelor's degree in Construction Management field strongly preferred. Will consider candidates with Associates degree in a relevant field, or with a combination of education and previous work experience or internship
  • General construction billing portal experience is a plus
  • Prior experience with technical documentation, flowcharts and project scheduling is a plus

  • Employee must be able to talk and hear

While performing the duties of this job, employee may be exposed to wet and/or humid conditions, moving mechanical parts, fumes or airborne particles and outside weather conditions.
