Project Administrator

Spark Power Corp USA is seeking an experienced Project Administrator who will provide essential administrative and project coordination support to ensure efficient construction site operations. This position facilitates communication between project teams, maintains accurate project documentation and personnel records, and coordinates scheduling, reporting, and onboarding activities to support project success.

Our ideal Project Administrator candidate will be highly organized, detail-oriented, and proactive, with strong communication and time-management skills. They excel at coordinating administrative tasks, maintaining accurate project documentation, supporting project managers and field personnel, and ensuring smooth day-to-day construction operations.

What will you do in this position?

  • Coordinate the onboarding of new employees and manage the New Contractor Orientation and process for all personnel.
  • Organize, distribute, collect, and maintain employee timecards, as well as update and maintain site manpower lists.
  • Support Project Managers and Foremen with tracking project activities and preparing daily field reports.
  • Record, update, and distribute meeting notes; maintain project logs; and create, organize, and maintain electronic and hard-copy files for each construction project.
  • Develop and maintain contact directories for key project stakeholders.
  • Review and distribute project documents and correspondence to field personnel and other key stakeholders, including construction specifications and drawings.
  • Manage calendars and schedules, and coordinate meetings, conferences, and other events both on-site and off-site.

  • 3-5 years of previous experience in a project admin role preferably in the trades/construction industry. 
  • Strong communication, coaching, and interpersonal skills.
  • Strong organizational, problem-solving, and attention-to-detail skills.
  • Proficiency with Microsoft Office, including Word, Excel, and PowerPoint.
  • Ability to work independently and as part of a team.
  • Ability and willingness to travel to project and field locations.
  • High school diploma or equivalent required; Bachelors degree preferred. 
  • Valid driver’s license and acceptable driving record, where required.
  • Previous experience managing and maintaining employee timecards.
  • Previous Experience working with Project manager to assist with field reports.

Working Conditions:

  • Must be available to work Monday to Friday 10-hour shift Saturday 8 hours
  • Standing, walking, sitting, climbing, typing, carrying, pushing, bending. Work is conducted in both indoor office and outdoor constructions jobsite settings. Environmental conditions will vary.
  • Occasional work at heights and lifting of up to 40 pounds.
