The Role

Thornton Tomasetti is seeking an organised, proactive, and service-oriented Administrative Assistant to support the smooth operation of our Romsey office, which forms part of Thornton Tomasetti’s Protective Design & Security (PD&S) practice.

The role will provide a broad range of administrative assistance, including, project and office administration, travel booking, and security functions. The successful candidate will be comfortable managing competing priorities, handling confidential information, and working with colleagues across the Romsey office, PD&S practice, and wider firm.

What You’ll Do
  • Support the day-to-day administration and smooth running of the Romsey office.

  • Assist with office supplies, facilities, equipment, visitors, meetings, and general office logistics.

  • Act as a helpful point of contact for office-related queries.

  • Maintain accurate office records, contact information, registers, and filing systems.

  • Assist with office events, meetings, hospitality, and internal communications.

  • Provide administrative support to project teams, project managers and office manager

  • Assist with purchase-order, invoice, expense, and other project-related administration.

  • Handle project and client information accurately and confidentially.

  • Arrange domestic and international travel, accommodation, ground transportation, and meeting facilities for colleagues.

  • Provide administrative support to the Security Controller and the wider PD&S practice.

  • Maintain appropriate security-related records, registers, contact lists, and filing systems.

  • Handle security-sensitive and confidential information with discretion.

What You’ll Bring
  • Previous experience in an administrative assistant, project administrator, or similar role.

  • Strong organisational skills, attention to detail and the ability to manage multiple priorities.

  • Excellent written and verbal communication skills.

  • Strong proficiency in Microsoft Office, including Outlook, Word, Excel, and Teams.

  • Experience supporting projects, records, document control, or professional-services teams.

  • Discretion and sound judgement when handling confidential or sensitive information.

  • A proactive, service-oriented approach and willingness to take ownership of tasks.

  • Ability to work effectively with colleagues across the office and wider Thornton Tomasetti organisation.

  • Experience in a security, engineering, construction, or other regulated environment would be beneficial but is not essential as training will be provided.

Must be able to obtain and maintain UKSV Security Clearance.
