The Brattle Group, a privately held, global economics consulting firm, is looking for a Project Administrator - Accounting to join our Boston, MA or London, UK office. The Project Administrator – Accounting is responsible for the accurate setup and ongoing maintenance of clients, projects and tasks across various systems in accordance with contract and business terms. The position works closely with Billing Analysts, Legal, and Project Managers at all levels of the organization and requires exceptional attention to detail, proficiency with billing systems, and the ability to review, interpret and apply contract terms.
Some of the day-to-day responsibilities of this role include:
- Serve as the primary liaison between the Legal and Billing departments, ensuring billing terms and fee arrangements and rates are accurately reflected in the contracts
- Review executed contracts and set up clients, projects and tasks in Aderant, ensuring accurate input of client and project data, project types, budgets, fee arrangements and billing rates
- Ensure all project information is complete, accurate, and consistent across all Brattle systems and applications. Provide information and be a resource for Legal and consulting staff as questions arise on project and bill rate setups and changes
- Identify, investigate and resolve discrepancies between contract terms and internal Project Setup Forms in a timely manner to ensure accuracy of invoicing
- Work closely with internal teams to ensure effective communication of issues related to project setup and maintenance, including proactively informing management of issues that may impact billing or project integrity Maintain accurate project- and task-related information in Aderant, including supporting annual global rate updates and other changes
- Conduct routine reviews of project setups to ensure information remains current and aligned with contractual terms throughout project lifecycle
- Respond in a timely manner to requests to update project setup, budgets and rates
- Develop, promote and document best practices for project setup and ongoing maintenance
- Assist with billing issues and inquiries as needed
- Support ad-hoc projects related to project and/or client information as requested
THE CANDIDATE
- Bachelor’s Degree, preferably with a concentration in accounting, finance or business
- 3+ years of administrative, accounting or business experience, preferably in a law firm or professional services environment
- Experience and proficiency in accounting and billing systems, Aderant or 3E highly experience strongly preferred
- Proficiency with Microsoft Office Suite (Excel proficiency required)
- Superior verbal and written communication skills, with the ability to interact effectively with consultants and Legal staff
- Exceptional attention to detail and ability to manage multiple, high-volume, deadline-driven priorities
- Hands-on, “roll-up-the-sleeves” service-oriented attitude
- Consistent high level of accuracy in data entry and data management
- Ability to work independently in a fast-paced environment, anticipate needs, and collaborate effectively as part of a team
- Intellectual curiosity and willingness to learn, ask questions, and identify and recommend process improvements
- Comfortable interacting with senior-level staff
- Positive, client-service-focused mindset
- Flexibility to work evenings and/or weekends as business needs require
Brattle offers a competitive benefits package, base salary, and bonus program for eligible roles based on individual and firm performance. The anticipated base gross salary range for this position in Boston, MA is $65,000 - $70,000 annually. Actual salary will depend on a variety of factors, including experience and training.
