- Prepare, produce, and submit invoices for a high volume of clients.
- Maintain project-related records, including contract and change orders.
- Set up projects in the accounting system for timekeeping, invoicing, and reporting.
- Communicate with multiple project managers regarding billing, contract and project information.
- Communicate with clients, both verbally and in writing, for related invoicing and collections activity.
- Collaborate with other accounting personnel in all offices to produce accurate and timely invoices.
- Conduct accurate contract documentation, administration, and maintenance including fee and budget entry withinthe accounting system (BST).
- Perform assorted clerical/general office duties, which include electronic and paper filing, answering phones and other tasks as requested.
Who You Are
- 2+ years of experience in professional services invoicing and Accounts Receivable, preferably in the Engineering/Architecture/Construction industries
- Understanding of professional services contracts and cost estimates/proposals.
- Proficient with Microsoft Office and Adobe Acrobat.
- Strong customer service background.
- Good written and oral communication skills, letter and report.
- Ability to work quickly, manage multiple priorities, and meet deadlines.
- Notary Public or ability to become a Notary Public.
- Understanding of conditional/unconditional lien waivers.
- Self-motivated, detail-oriented, proactive, and professional.
