Position Summary:

Any Baby Can is seeking an experienced Program Coordinator to support the Nurse-Family Partnership program by planning and coordinating a wide range of programmatic and administrative support services. This position is an important link between the program staff, agencywide staff, and clients, and requires a high level of communication, organization, and professionalism.  The Program Coordinator supports the daily operations of the Nurse-Family Partnership (NFP) home visiting program to ensure smooth program functioning, data accuracy, and positive client outcomes.  This role will be responsible for collaborating with other programs/departments to provide administrative support, support program events, and outreach efforts as necessary. The program coordinator will provide a level of customer service demonstrating initiative, problem-solving, and the ability to work independently.  The position will be expected to work from the office 80% of the time.

 

 

Key Responsibilities:
• Coordinate duties in alignment with NFP model fidelity.
• Responsible for data entry, accuracy, and integrity across three databases. Primary point
   of contact for all data transfer automation and troubleshooting errors.
• Prepare and send letters to disengaged clients and medical providers as indicated.
• Support timely data reporting across the agency and generate monthly data quality
   report. Communicate effectively with staff to resolve data errors within expected
   timeframes.
• Coordinate with other NFP sites to obtain or provide documentation for transferred
   clients.
• Provide support to program leadership with the development, implementation, and
   monitoring of program special projects and initiatives.
• Assemble client enrollment binders and maintain stock.
• Assist with program purchases and maintain stock of client teaching tools, program
   supplies, and outreach materials within program budget.
• Maintain organized program records.
• Prepare materials and room setup for meetings and presentations.
• Record notes at All-Team meetings and send them to Program Supervisors.
• Prepare office area and materials for team events and celebrations.
• Keep the shared NFP office area organized, clean, and tidy. Return shared supplies and
   materials to their designated locations after use, keep work surfaces clear, and dispose
   of trash and unnecessary items promptly. Ensure common areas remain welcoming and
   ready for everyone to use.
• Cross-departmental collaboration to support events and family engagement initiatives.
• Assist with front desk coverage as needed.
• Other additional tasks as needed.

Qualifications

Experience and Qualifications:

• High school diploma or equivalent, plus 2-3 years of office and administration professional experience, required. Experience in maternal-child health, early childhood, or social services setting, preferred.

• Associate or bachelor’s degree, strongly preferred.

• Bilingual language skills in English/Spanish, both verbal and written modalities, preferred.

• Ability to maintain confidential information and adhere to HIPAA regulations regarding Personal Health information (PHI), required.

• Proficiency with Adobe and all MS Office suite products, especially Word, Excel, Outlook, SharePoint, Teams, & Loop, and a familiarity with database applications.

• Must be able to demonstrate effective written and verbal communication skills.

• Solid experience operating general office equipment and telephone systems.

• Ability to work both independently and as a member of a collaborative team.

• Positive attitude, good communication skills, and a strong contributor to agency needs.

Special Considerations:

• Must have reliable transportation to travel within the assigned region; if driving own vehicle, must have valid driver's license and current vehicle insurance.

• This position requires periodic availability outside normal working hours to attend and facilitate program-related events and activities.

• Must be flexible, able to work well under pressure, meet deadlines, and have proven ability to maintain accurate records. 

• Ability to sit for extended periods of time.

• Ability to work more than 8 hours per day.

• Ability to sit, stand, kneel as necessary to fulfill daily duties assigned.

Skills Required

  • High school diploma or equivalent
  • 2-3 years of professional office and administrative experience
