Job Description Summary:
The Program Coordinator is responsible for planning, implementing, and overseeing various AgriLife Aspire and employee engagement programs that may require attention outside of traditional 8:00 AM to 5:00 PM work hours, including occasional in-state travel, typically between 2-5 days for a minimum of twice a year. This role demands excellent organizational skills, adaptability, and the ability to work independently while managing multiple projects simultaneously. The ideal candidate exhibits strong leadership qualities and a high level of commitment and professionalism.
Responsibilities:
Program Management
Coordinates and oversees the implementation of assigned programs and events, ensuring they meet established goals and objectives.
Develops and maintains detailed project plans, timelines, and budgets.
Monitors program progress and adjusts as necessary to ensure successful completion.
Task Execution
Completes assigned tasks and projects according to specified deadlines, regardless of traditional work hours.
May develop and update training materials and deliver training sessions on the use of AgriLife Aspire in partnership with the Outreach Specialist team.
Ensures that all tasks are performed with a high level of accuracy and attention to detail.
Adapts to varying workloads and prioritizes tasks based on urgency and importance.
Communication
Maintains clear and consistent communication with team members, supervisors, and stakeholders.
Provides regular updates on progress and any potential issues that may arise.
Coordinates Aspire communications and promotions through SharePoint and internal communication methods.
Responds to inquiries regarding Aspire offerings.
Is available for scheduled meetings and conference calls outside of normal business hours as required.
Time Management
Develops and adheres to a personalized work schedule that aligns with program deadlines and team requirements.
Utilizes time tracking tools and techniques to manage work hours effectively.
Ensures a healthy work-life balance while meetings job expectations.
Problem-Solving
Identifies and addresses any challenges that arise from working outside of standard business hours.
Implements creative solutions to ensure tasks are completed efficiently and effectively.
Proactively seeks assistance and collaborates with team members when facing challenges.
Unit Support
Assists with coordination of purchases for EDE unit.
Assists with onboarding and offboarding EDE employees.
Assists with coordination for annual meeting, holiday and team building events.
Helps maintain storage closet and beverage station inventory.
Assists with monitoring EDE inbox.
Required Education and Experience:
Bachelor’s degree or equivalent combination of education and experience.
Two years of related experience.
Required Knowledge, Skills and Abilities:
Knowledge of word processing, spreadsheet, and database applications.
Verbal and written communication skills.
Ability to multitask and work cooperatively with others.
Preferred Knowledge, Skills and Abilities:
Ability to think critically and make independent decisions.
High attention to detail.
Strong organizational and time management skills.
Experience with event planning and coordination.
Proficiency in project management software and tools.
Ability to work independently and as part of a team.
Excellent problem-solving and critical-thinking abilities.
