The Role

Aqueity is looking for a skilled Procurement Specialist, who is responsible for managing procurement processes, vendor relationships, asset management, and license compliance. This role ensures efficient procurement operations and aligns procurement strategies with business needs.

Responsibilities:Procurement Process Management

  • Implement procurement procedures for the benefit of our clients.
  • Execute end-to-end procurement processes, with a focus on sourcing products and ensuring alignment with our vendors.
  • Collaborate with cross-functional teams such as IT, finance, and operations to align procurement activities with business objectives.

Ordering and Vendor Management

  • Timely placement of purchase orders.
  • Build strong vendor relationships and negotiate the best available pricing for Aqueity.
  • Complete deal registrations and ensure Aqueity receives maximum vendor-related benefits (training, sales support, discounts, etc.).
  • Conduct periodic vendor evaluations for compliance, quality, and competitive pricing.

End-of-Life (EOL) Product Management

  • Develop EOL product replacement plans considering cost, compatibility, and scalability.
  • Stay updated on industry trends and product lifecycles to identify EOL products.
  • Assess the impact of EOL products on IT infrastructure and recommend suitable alternatives.

Warranty Expiration Tracking

  • Maintain a database of warranties and their expiration dates.
  • Proactively identify and manage warranty renewals and replacements to minimize risks.

Material Intake and Asset Management

  • Oversee intake and verification of delivered materials for accuracy.
  • Implement asset management processes, including tagging, tracking, and inventory maintenance.
  • Optimize asset utilization, manage surplus equipment, and coordinate disposal or resale.

Onboarding Responsibilities

  • Assess existing licenses managed by previous MSPs, conducting inventory and renewal reviews.
  • Collaborate with stakeholders to ensure a smooth equipment and license transition.
  • Facilitate licensing transfers and analyze compared to Aqueity standards.
  • Work closely with finance teams for transparency in budgeting, invoicing, and payments.

Vendor Management

  • Evaluate potential vendors based on quality, pricing, and reliability.
  • Negotiate contracts (in collaboration with our leadership team), SLAs, and warranties to ensure compliance and secure favorable terms.
  • Maintain strong vendor relationships, conduct performance evaluations, and address performance gaps.
  • Mitigate risks by assessing vendor stability and value to Aqueity.
  • Provide vendor performance reports and insights to support decision-making.

Asset Management

  • Maintain an accurate hardware inventory, tracking specifications, serial numbers, and locations.
  • Develop and implement hardware refresh strategies considering performance and budget constraints.
  • Align procurement planning with business needs (both client and Aqueity).
  • Engage with vendors for competitive pricing and on-time delivery of hardware assets.
  • Collaborate with finance teams to manage procurement budgets and optimize cost savings.
  • Ensure compliance with warranty terms and maintain documentation for audits.

License Management

  • Maintain an up-to-date software license inventory, tracking types, quantities, and expiration dates.
  • Ensure compliance with software licensing agreements and prepare for vendor audits.
  • Collaborate with IT and business units to procure necessary licenses and manage renewals.
  • Identify cost-saving opportunities through license optimization and consolidation.
  • Provide financial planning for license-related expenses and control procurement costs.

Requirements:

  • Bachelor’s degree in supply chain management, business administration, IT, or a related field.
  • 3+ years of experience in procurement, vendor management, or asset management in a technology-related industry.
  • Strong negotiation and contract management skills.
  • Experience with procurement software, asset tracking systems, and licensing compliance tools.
  • Excellent communication and stakeholder management skills.
  • Strong analytical skills and attention to detail.
  • Ability to work independently and manage multiple projects simultaneously.

Working Conditions:

  • Office-based role with occasional travel for vendor meetings and industry events.
  • Must be able to lift and carry up to 25 pounds.

Compensation: $50,000 - $65,000 annually
