AnnieMac Home Mortgage is looking to hire a Full-time Pre-Closing Coordinator in a hybrid mortgage operations role, to be responsible for supporting loan files from initial opening through clear-to-close and closing preparation. This position combines loan-opening responsibilities with pre-closing coordination to ensure that required documentation, title work, insurance information, appraisal details, closing figures, and file contacts are accurate, complete, properly organized, and available as early as possible in the loan process. The primary objective of this role is to prepare files for closing proactively, allowing processing, underwriting, and closing activities to move forward in parallel rather than waiting for each stage to be completed sequentially. By identifying missing or incomplete items early and maintaining consistent follow-up, the Pre-Closing Coordinator helps reduce closing delays, improve communication, and provides borrowers, loan officers, real estate agents, attorneys, and other stakeholders with well-organized and professional closing experience.
Under the direct supervision of Sales Leadership, the Pre-Closing Coordinator is responsible for, but not limited to, the following job responsibilities:
- Support assigned mortgage files from loan opening through clear to close.
- Review files for completeness, accuracy, and closing readiness.
- Identify missing, incomplete, inaccurate, or expiring items that may affect closing.
- Monitor outstanding documentation, conditions, fees, disclosures, and closing requirements.
- Coordinate with loan officers, processors, closers, attorneys, title companies, insurance providers, and other transaction partners.
- Maintain timely follow-up on outstanding requests and escalate unresolved or time-sensitive issues.
- Ensure borrower, property, transaction, and third-party contact information is complete and accurate.
- Review title information, insurance documentation, appraisal details and preliminary closing figures.
- Support the resolution of assigned title-related, processor, and pre-closing conditions.
- Ensure required documents are properly maintained and available for processing, underwriting, and closing review.
- Maintain accurate file notes, status updates, and follow-up records.

- Help ensure files meet established Closing Ready requirements before final underwriting clearance.
- Coordinate closing arrangements once the loan is clear to close.
- Manage a high volume of files while prioritizing work based on closing dates, urgency, and operational risk.
- Maintain a minimum 75% Closing Ready rate for eligible assigned loan files.
- Complete follow-ups and assigned responsibilities within established timelines.
- Maintain accurate, complete, and organized loan files.
- Identify and escalate potential closing delays promptly.
- Minimize last-minute closing issues caused by missing documentation, incomplete conditions, or inaccurate information.
- Provide timely and professional communication with internal teams and external partners.
- Complete all Company mandatory trainings within the required timelines.
- High School Diploma/Equivalent
- Prior experience in mortgage processing, loan setup, title, closing, banking, real estate, or a related role preferred.
- Working knowledge of the mortgage process from application through closing preferred.
- Strong organization, follow-up, and attention to detail.
- Ability to manage multiple loan files, deadlines, and communication tracks.
- Strong written and verbal communication skills.
- Comfortable working with loan officers, processors, closers, attorneys, title companies, and other partners.
- Experience with Encompass or another loan origination system preferred.
- Ability to work independently and collaboratively in a fast-paced mortgage environment.
Work Environment/Physical Demands: Will have to spend long hours sitting and using office equipment and computers, which can cause muscle and eye strain.
