Job Summary:
The Program Support Specialist performs a wide variety of administrative functions to support the Purchased Referred Care (PRC) department. This position will report to the Purchased Referred Care Manager.
Primary Responsibilities:
- Perform a wide variety of administrative duties and serve as the program support for the Purchased Referred Care program.
- Assist with the coordination of meetings, schedule and reserve conference rooms, and other key organizational activities.
- Ensure conference room settings are arranged for meetings and other details to make the meetings a success.
- May include completing errands for the Purchased Referred Care Program.
- Assist with correspondence and documents to ensure timely responses and that all information is properly coordinated.
- Receive and process/distribute all incoming mail, faxes, and electronic mail by logging in, electronic scanning, and filing for timely action.
- Ensure all phone calls and visitors are directed to appropriate administrative staff.
- Maintain records and filing for the Purchased Referred Care Program.
- Provide customer friendly greetings in assisting clients/visitors/staff to the Purchased Referred Care Program.
- Perform other duties as assigned.
- Follow all policies and procedures set forth by Echota Behavioral Health.
Supervisory Responsibilities:
- This position has no supervisory responsibilities.
Minimum Qualifications:
Education:
- High school diploma, GED, or equivalent required.
- Associate's degree preferred but not required.
License/Certifications:
- No professional license or certifications required for this position.
Experience:
- Administrative experience, preferable in a hospital or medical setting.
- Strong communication skills, both verbal and written.
- Ability to work collaboratively across departments.
- High level of discretion and ability to handle confidential information.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Must possess a valid Oklahoma Driver’s license and a clear background check.
Physical Requirements:
- Ability to sit and work at a computer for extended periods of time, with regular opportunities to stand, walk, and change positions.
- Requires discretion, empathy, and professionalism when handling sensitive information.
Work Environment:
- Primarily sedentary work performed in an office environment.
- Office-based position.
This position may have care of or contact with Indian children.
