About the role
We are seeking a highly organised and proactive Personal Assistant to join EBC Tech Limited on a full-time basis. Based in Admiralty, Central and Western District, you will provide comprehensive administrative and secretarial support to senior management. This is a pivotal role that ensures the smooth day-to-day operation of the executive office, enabling key stakeholders to focus on strategic priorities. Your contribution will be essential in maintaining the efficiency and professionalism of the organisation.
Key responsibilities

  1. Managing and prioritising the executive's calendar, scheduling meetings, and coordinating diaries across multiple stakeholders
  2. Organising and preparing for meetings, including preparing agendas, briefing documents, and follow-up actions
  3. Handling correspondence, emails and telephone communications with professionalism and discretion
  4. Preparing and formatting reports, presentations, and business documents using Microsoft Office and other relevant software
  5. Arranging travel, accommodation and logistics for business trips and events
  6. Managing confidential information with integrity and maintaining strict confidentiality
  7. Maintaining filing systems, databases and records in an organised and accessible manner
  8. Liaising with internal departments and external stakeholders to facilitate smooth communication
  9. Providing ad hoc administrative support including expense claims processing and general office administration


Requirements
  1. 2 years relevant experience serving Senior Executives/family
  2. Higher Diploma or above in Business Administration or related disciplines
  3. Good command of spoken and written English and Chinese (Mandarin speaking is a MUST)
  4. Proven experience as a Personal Assistant, Executive Assistant or in a similar secretarial role within a professional business environment
  5. Excellent organisational skills with the ability to manage multiple priorities simultaneously and work to tight deadlines
  6. Outstanding written and verbal communication skills with a professional demeanour
  7. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and other relevant software
  8. Strong discretion and the ability to handle confidential information with integrit
  9. Flexibility and adaptability in a fast-paced business environment
  10. Immediate availability preferred

Skills Required

  • Minimum 2 years relevant experience serving senior executives or family
  • Higher Diploma or above in Business Administration or related discipline
  • Good command of spoken and written English and Chinese; Mandarin speaking is a must
  • Proven experience as a Personal Assistant, Executive Assistant or similar secretarial role in a professional business environment
