We’re at an exciting moment in our journey, as recently all the brands in the Newton group have been located under one roof, at 9 Marshalsea Road (9MR).

Newton is looking for a bright, enthusiastic, and highly competent individual to provide PA support to Senior stakeholders and wider admin support to the Xantura team, alongside supporting the day to day running of our London Office.  They will be the face that greets every guest to 9MR with warmth and professionalism, and the person who keeps everything ticking smoothly behind the scenes. As such, this role will be based at 9MR for five days a week .

You will be joining a dedicated team of Personal Assistants in the Delivery Support Team providing tactical and efficient support and working to build a world-class and high performing support function.  As a large part of the Delivery Support Team are based in our Oxfordshire office you may occasionally need to travel there.

Personal Assistant:

  • Working closely with the wider Executive Support function to provide effective support and increased value to the people you support (stakeholders), driving and sharing best practice
  • Managing and maintaining diaries of senior leaders from Xantura, alongside their travel and accommodation requirements and supporting the wider team with larger meetings
  • Fostering team communication and collaboration, welcoming new joiners and supporting their onboarding and agenda planning for team meetings
  • Supporting governance for key meetings and ensuring required reports are produced
  • Monitor holiday cover inbox to ensure elements of support are still maintained for team members
  • Ad-hoc administrative tasks as needed  to support the effective running of the Xantura team

Reception & Facilities:

  • Staffing the London Office reception desk on a daily basis, greeting visitors (internal and external) and managing deliveries and collections
  • Being the onsite Facilities presence and first port of call for queries about the London Office and directing queries as appropriate
  • Ensuring the shared working spaces (including the ground floor meeting suite) is clean, tidy and fit for purpose
  • Ensuring the shared working spaces are stocked with stationery and refreshments
  • First Aider and Fire Marshall responsibilities
  • Managing access to the building and room bookings

Requirements

You’ll be a high calibre individual, with exceptional levels of personal drive and eagerness for personal development. An analytical mind coupled with strong communication skills and a positive attitude are essential to fit into the Newton culture. The successful candidate will also have/be able to demonstrate the following:

  • Previous experience in an administration role
  • Experience of diary management, co-ordinating and booking meetings
  • Ability to think ahead and anticipate needs before they arise
  • Methodical coordination skills and logical thinking with exceptional attention to detail and deadlines
  • Exceptional organisational skills: ability to multi-task and organise others
  • Excellent oral and written communication skills, with the ability to work and communicate effectively within a team and enjoy being a team player
  • Experience working within a high-paced environment where you can remain calm under pressure, adaptable and responsive to ever-changing challenges and priorities
  • Excellent use of Teams, Outlook, Word, Excel, and PowerPoint (and Co-Pilot) and an ability to quickly learn new IT systems and processes to provide support to your colleague
  • Discretion and confidentiality guaranteed
  • Capability to filter information and assess priorities – always looking to bring additional value to the team

We offer a highly competitive salary (£30,000-£33,000) and our generous benefits package includes Life Assurance, Income Protection, pension contributions and 25 days holiday (not including bank holidays). We also operate a profit share scheme so that our people share in the success of the business. The profit share bonus is based on company performance and typically paid out in March and September.
