This role will provide day-to-day support to our employees so they can deliver the highest quality service to our clients. This individual will partner with all People Team members to successfully develop, implement, and operate several areas of human resources throughout the employee life cycle. From onboarding and off boarding, HRIS administration, benefits administration, performance management, engagement efforts, accommodations, leave processing, to other HR-related project work.
This role will act as a trusted advisor and advocate for our employees and leaders and will help facilitate resolution for HR related concerns. The ideal candidate finds value in providing outstanding internal customer support and can establish credibility and trust with business leaders and employees alike.
Responsibilities:
- Onboarding/Offboarding:
- Manage the HR administration of onboarding including but not limited to background checks, onboarding documents, I-9 verification, notices of employment, and provide onboarding support to Opportunity owners.
- Conducts a weekly 1-hour HR/Benefits Session.
- Manage the end-to-end offboarding processes to include appropriate notifications, offboarding letters, and the separation agreement when applicable.
- Develops and identifies opportunities to improve both onboarding and offboarding activities.
- Benefits:
- Assist in performing benefits administration to include claims resolution, change reporting, and communicating benefit information to employees.
- Administer leave of absences, accommodations and worker’s compensation programs and policies, in accordance with the applicable federal and state employment laws and under the general direction and guidance of HR leadership.
- Partner with HR Operations Leader to administer benefits programs such as life and disability, health, dental and vision insurance, 401(k), flexible spending accounts, leaves, and employee assistance.
- Serve as point of contact to insurance broker for administrative items and manage all benefits and vendor relationships as well as annual benefit renewal process and changes.
- Compensation:
- Partner with HR Operations Leader to administer compensation programs such as Annual Celebration Lunch (ACL); delivery of updated compensation documents.
- Support creation and implementation of compensation tools such as pay bands, market survey’s, job description repository.
- Support pay equity reviews; work with Employee Relations re: data for increases/bonuses.
- Compliance and Policies:
- Manage unemployment processing.
- Manage immigration matters.
- Support creation and develop processes around policies and programs.
- Support Employee Handbook review and updates.
- Administer mandated learning using a Learning Management System (LMS) - Traliant LMS; identify compliance process and manage program.
- HRIS:
- Oversees and maintains optimal function of the HRIS, which may include installation, customization, development, maintenance, and upgrade to applications, systems, and modules.
- Provides technical support, troubleshooting, and guidance to HRIS users.
- Manages permissions, access, personalization, and similar system operations and settings for HRIS users.
- Serves as the primary point of contact between HRIS and external vendors for file interfaces, data, Open Enrollment, and more.
- Support Year End action items in UKG Pro such as preparation for the new year, W-2s, and ACA/1095 Reporting
- Manage data imports/exports with approved vendors.
- Manage Payroll coding/and holiday coding in people system.
- Work with IT support to maintain appropriate security and privacy.
- Maintain and implement UKG modules as needed. (Talent management; personnel file, etc.)
- People Metrics/Analytics – Reporting:
- Support creation and maintain People data and reports regarding over all People metrics.
- Maintains the people dashboard.
- Support Talent Management processes which may include system management, training, and creating job aids.
- Manage mandated reporting -federal and state reporting.
- Manage people data request.
- Compiles or assists with the acquisition of complex data reports, summaries, and logs for leadership.
- General People Operations:
- Identifies legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting comply.
- Support implementation of electronic employee records system ensuring the company is compliant and maintain accurate retention guidelines.
- Partner with Payroll to ensure pay information, employee statuses, and deductions are entered prior to processing.
- Manage the People Team SharePoint site ensuring it is easy to navigate and is always up to date.
- Along with the rest of the HR team respond to employee inquiries to the People Team email inbox in a timely manner; and other inquiries received via phone, mail.
- Act as a thought leader to provide ideas and suggestions around workplace culture and work with culture committee and administrative team in planning company social events.
- Complete other projects as assigned by the People leadership, or as needs are recognized.
- Maintain and support accurate retention for personnel files, guidelines.
- Ensures employee and company information is accurate in UKG pro.
- Manage and support on-going documentation of standard operation procedures/Service Level Agreements, etc.
Skills and Qualifications:
- Minimum 3-5 years of relevant HR coordinator or generalist experience in a dynamic, fast-paced organization.
- Have alignment to our five People Values: Collaboration, Versatility, Willingness, Capability, and Fun-Loving!
- Experience using collaboration tools (SharePoint, Teams) and HCM systems (UKG experience a plus).
- Intermediate Excel skills.
- General knowledge and interest in developing policies/processes that align to Unify culture while remaining in compliance with Federal/ State laws and regulations (experience and knowledge in multi-state laws and regulations a plus).
- Experience in the administration of benefits, compensation, worker’s compensation, and other Human Resources programs.
- Excellent communication skills, a professional demeanor, and a high regard for confidentiality.
- Meticulous attention to detail and organization with a track record of accuracy.
- Have a curiosity to learn and develop understanding and improve processes.
- Self-starter, self-driven, and have a growth mind-set.
