What the job involves
This hybrid role (3 days onsite per week) supports a wide range of People Operations and initiatives as Hayden AI scales. This role will support day-to-day People processes, including onboarding, offboarding, employee data changes, records retention. They will also work on a variety of People-related projects to support the team’s broader goals.
Responsibilities

Onboarding: Conduct new hire sessions, update onboarding materials, ensure accurate completion of documentation (e.g., I-9 verification, offer letters, eVerify), and provide training for new hires.

HR Systems Management: Maintain HRIS and other systems to ensure accurate employee data, compliance, and confidentiality.

Reporting and Metrics: Prepare monthly metrics, ad hoc reports, validate data, test systems, and update organizational charts.

Contractor Management: Oversee contractor onboarding, offboarding, and headcount tracking.

Annual Initiatives: Support performance reviews, benefits enrollment, and compensation processes.

Compliance and Policies: Ensure HR compliance and assist with updating company policies.

Job Descriptions: Assist with creating, maintaining, and updating job descriptions.

Process Improvements: Identify and implement process improvements; maintain PeopleOps documentation.

Training Support: Facilitate employee training sessions as needed.

Employee Support: Serve as the first point of contact for employee inquiries, providing timely assistance.

Ad Hoc Projects: Contribute to special projects and initiatives as required.
Qualifications

Bachelor’s degree required.

4-5 years of experience in a PeopleOps role, preferably in a fast-paced, rapidly scaling organization.

Demonstrated discretion in handling confidential and sensitive information.

Proven ability to build trusting relationships with internal teams, external stakeholders, and vendors.

Strong organizational and time management skills, with the ability to manage multiple projects simultaneously and maintain attention to detail.

Recent experience working with HRIS systems.

Proficiency in Google Workspace (formerly G Suite), including Gmail, Google Drive, and Google Docs. Intermediate proficiency with Google Sheets, including formatting data, creating/editing spreadsheets, and using functions.

Skilled in creating and maintaining spreadsheets for reporting, tracking, and collaboration.
