What we’re looking for: 

Nexamp is looking to hire People Operations Specialist. In this role, you will be responsible for the administration of all company benefits and leaves of absence as well as a variety of other operational projects and tasks to support the People team. This role demands meticulous attention to detail, a deep understanding of policies and procedures, and the ability to handle and communicate sensitive information with discretion.   

You will be hybrid out of our Boston Office, with 3 days a week expected. You will report to the Director, People Operations. 

What you’ll do:  

  • Manage the administration of employee benefits programs such as health, dental, vision, life insurance, disability insurance, and COBRA 
  • Provide guidance and assistance to employees on benefits inquiries and issues, ensuring they receive timely and accurate information.  Work with vendors and management on any escalations. 
  • Manage the leave of absence process, including partnering with our vendor to ensure compliance with all state and federal laws. 
  • Maintain company intranet, ensuring all documents and materials are up to date and accurate, and that employees have quick access to information. 
  • Project manage annual open enrollment, including entering new rates/plans into HRIS system, helping to create employee communications, and providing vendors with enrollment data.  
  • Conduct regular audits to ensure all enrollments match between our vendors and payroll system. Address any discrepancies and implement corrective actions as needed to maintain consistency between all systems. 
  • Review and audit all bills related to benefits; address discrepancies as needed and submit to AP for processing. 
  • Lead the Benefits section of New Hire Orientation on a bi-weekly basis; hold benefits trainings as needed. 
  • Administer compliance training via our third-party platformEnsure all employees are assigned the appropriate new hire and annual trainings, per state law.
  • Manage the visa application process for new and existing employees requiring work authorization. Act as a liaison between employees, legal representatives, and management to ensure proper documentation and compliance with immigration laws. 
  • Act as back-up for Payroll as needed, including processing and confirming accuracy of bi-weekly payroll process. 
  • Work on special projects, as needed. 

What you’ll bring: 

  • Minimum of 3 years of demonstrated experience in benefits and leave administration.    
  • Excellent organizational skills and the ability to manage multiple tasks concurrently.  
  • Flexible and ability to pivot quickly as business needs arise. 
  • Strong analytical and problem-solving abilities with a keen eye for detail. 
  • Exceptional interpersonal and communication skills, capable of handling sensitive situations with diplomacy and confidentiality. 
  • Proficiency in HRIS systems and reporting tools. 
  • Commitment to Nexamp's mission and have a passion for solving tomorrow's climate crisis today.
  • Demonstrated experience in effectively communicating information, ideas, and perspectives with people inside and beyond your organization.   
  • Experience in showcasing initiative to make improvements to current work, processes, products, and services across the organization. We value accountability and an ownership mentality. 
  • Ability to ask appropriate questions, analyze data, identify the root causes of problems, and present creative solutions. 
  • Expertise in building strong internal and external relationships with customers and stakeholders, instilling trust and loyalty across the industry. 
  • Eagerness to develop a fundamental understanding of how Nexamp operates and then apply that knowledge effectively to inform business decisions.
