Introducing the People Team at Trainline 👋

At Trainline, the People Team is central to supporting the company’s ambition and growth plans.

We are looking for a People Operations Advisor to join our UK People Operations team. Reporting into our UK People Operations Team Manager, you’ll work on all things HR and be responsible for supporting employees across the business and helping to make Trainline a great place to work. You’ll provide high quality support in relation to both core HR processes and ad-hoc projects and quickly become an integral part of the team and wider business.

As a People Operations Advisor at Trainline, you will...🚅

  • Provide high-quality first-line support to Trainliners and resolving HR process and policy queries professionally and within agreed SLAs.

  • Produce and maintain accurate people data, ensuring high data integrity in our HRIS (HiBob) and that updates are completed promptly. Apply a data-literate, analytical mindset to validate information and produce reports that support People Ops delivery and decision-making.

  • Deliver change alongside day-to-day People services by contributing to People Ops projects such as system enhancements, process redesign, and embedding AI-enabled solutions, while balancing inbox SLAs, operational deadlines, and project work through effective planning and prioritisation to ensure reliable delivery.

  • Work with People Business Partners to support cyclical People processes and document and implement employee lifecycle changes, including personal and contractual updates.

  • Support the preparation, validation, and processing of the monthly UK payroll, ensuring accurate and timely data inputs and alignment between HiBob and payroll workflows.

  • Deliver day-to-day benefits administration, managing enrolments and changes accurately and resolving benefit-related issues efficiently.

  • Manage employee lifecycle administration, including pre-boarding, contracts, background checks, Right to Work documentation, and visa sponsorship, ensuring employee data is accurate across systems and workflows.

  • Process People-related invoices and purchase orders accurately, partnering with accounts payable and supporting effective financial administration.

  • Support and manage the improvement, implementation, and documentation of People policies, processes, and templates, ensuring they remain up to date, user-friendly, and aligned with a tech-first, self-service culture.

Based on the sensitive nature of the role, it’s important that you bring the appropriate degree of discretion and empathy in the way you operate. To this end, you’ll be responsible for identifying escalation points and making sure that any issues are managed appropriately and are dealt with efficiently. Furthermore, being heavily involved in all our HR processes means that you’ll be ideally placed to contribute towards the development of new solutions that further enhance the quality, competence and effectiveness of our current offering.

  • You bring a solid foundation in People Operations and are motivated to continue learning and developing in a fast-moving, tech-enabled environment.

  • Working understanding of HR best practices, employment law, and core HR processes, with the ability and curiosity to stay up to date with regulatory change.

  • Experience supporting payroll administration, including maintaining payroll data, running checks, and a working understanding of UK tax, NI, and statutory requirements.

  • Comfortable working with HR systems (ideally HiBob or similar HRIS), with a genuine interest in using technology to improve People processes.

  • Data-literate, with the ability to produce, interpret, and validate reports, ensure data quality, and use insights to support People Partners and business needs

  • Exposure to process and ways-of-working improvement, such as documenting workflows, testing system enhancements, refining templates, or supporting change implementation.

  • Strong attention to detail, particularly when handling people data, contracts, payroll inputs, or employee records.

  • Clear and professional verbal and written communication skills, with the ability to explain policies and processes confidently.

  • Strong organisational and time-management skills, able to manage competing priorities, balance BAU and project work, and work to agreed SLAs.

  • Confident using Microsoft Office or Google Workspace, particularly Excel / Sheets for data handling and reporting.

We’re looking for a team player with a ‘roll your sleeves up’ attitude. A self-starter with a helpful, people-orientated demeanour and a high degree of integrity and confidentiality, someone itching expand upon their HR and payroll experience. Super-strong organisation and interpersonal skills are essential, and you’ll also bring the ability to work at pace and with agility.

An HR qualification isn’t necessary - as long as you can demonstrate your interest in HR and show a comprehensive understanding of HR processes and policies, we’ll provide you with the necessary professional development to make you an HR superhero.

This is fantastic opportunity for someone who is passionate about HR, keen to work in a fast-moving, forward-thinking technology business, and looking to develop their career.

This is a role based in the UK but as we also support offices in France, Spain and Italy so experience of working with employees in these countries would be helpful but is not essential.
