The Role
We are seeking to recruit a People Associate to join the People team and support HR and office administration duties. The successful candidate should possess exceptional communication skills, strong organizational skills, and be comfortable working in a dynamic, fast-paced environment.
The role will be based in Abidjan, Côte d'Ivoire or Kinshasa, Democratic Republic of Congo (DRC).
Duties and Responsibilities:
People and Culture Support
· Assist in recruitment process, including job posting, scheduling interviews, conducting reference checks, drafting offer letters and employment contracts.
· Support employee onboarding process and offboarding by ensuring all meetings are scheduled and required documentation is completed.
· Support performance review processes by sending the communication, tracking progress and sending reminders.
· Assist in implementing wellbeing programs, employee engagement and company culture initiatives.
· Help manage people's team policies, ensuring all staff have signed the employee handbook and are informed of the guidelines and employee benefits.
· Manage the onboarding and offboarding of employees on the medical insurance cover.
· Drafting of bank, Visa and employment letters.
· Manage work permit applications.
· Address people team related employee inquiries and escalate concerns as needed.
Office Administration
· Oversee inventory management and ensure office supplies are well-stocked.
· Assist in maintaining a clean, organized, and safe office environment.
· Support IT in coordinating work tools sourcing, issuance and collection upon joining and exiting.
· Manage office correspondence, and documentation ensuring compliance with data protection act.
Qualifications and experience:
· Relevant qualification in human resources, office administration, or a related role.
· 2+ years of experience in human resource management.
· Must be adept at problem-solving, including being able to identify issues and resolve them in a timely manner.
· Strong organizational skills with great attention to detail.
· Ability to handle sensitive information with utmost confidentiality.
· Ability to effectively communicate and collaborate with a diversed workforce
· Must have excellent analytical, interpersonal and people skills.
· Must have excellent emotional intelligence, including empathy, awareness and be comfortable working in a dynamic, fast-paced environment.
· Being Bilingual is compulsory (English and French speaking).
