Reports to the Manager, Accounting and Finance or the Controller. Processes payroll according to defined policies and procedures. Prepares and meets federal, state, and local reporting requirements.MISSION, VALUES and SERVICE GOALS

Processes payroll by:

  • Utilizing knowledge of payroll rules which allows accurate calculation of team member time cards and checking for proper accuracy and proper coding for different pay types.
  • Inputting payroll, deduction and benefit adjustment data into the computer.
  • Preparing corrections and adjustments for errors in team member payroll checks through odd payroll.
  • Inputting direct deposit data for team member records.
  • Maintaining accurate team member address and tax records.
  • Balancing and reviewing various payroll reports to ensure accuracy.
  • Preparing deposits for federal income tax withholdings, direct deposits, payroll deposits, and payroll deductions.
  • Initiating Automated Clearing House (ACH) transfers, Reward for Savings files, EFTPS, Savings Bond file and Child Support file for payroll and verifying accuracy.
  • Initiating and monitoring API processes for daily processing.
  • Initiating and monitoring API processes for payroll processing and maintaining electronic files for storage of time card records.
  • Entering garnishments, bankruptcies and child support orders in Peoplesoft, maintaining spreadsheets to balance and disburse with payments.
  • Completing interrogatories and keeping files to meet court requirements for bankruptcies, wage garnishments, support payments and tax liens as required by the applicable governmental agency.

Prepares and meets federal, state, and local reporting requirements by:

  • Summarizing federal tax deposits for the 941.
  • Preparing and balancing W-2's.
  • Maintaining accurate data for input to required reports.
  • Transmitting funds electronically to the federal government after each pay period.
  • Transmitting funds electronically to the State on a monthly basis.
  • Preparing check requests for payment of various payroll deductions.
  • Completing Department of Labor Reports and unemployment reporting on a timely basis.

Supports the department by:

  • Answering team members' questions pertaining to payroll issues.
  • Educating management and team members on various payroll policies and related issues through payroll in-service.
  • Providing training on the API Time & Attendance System, Time PC and Report Express for management and/or their designee.
  • Testing tax updates and application of bundles and patches for payroll processes in both API and Peoplesoft.
  • Investigating, testing and working to resolve software issues; reporting results to Accounting Manager or Controller for implementation of fixes or escalation of issues to Information Systems.

Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by:

  • Completing other job-related duties and projects as assigned.

  • Attends and participates in department meetings and is accountable for all information shared.
  • Completes mandatory education, annual competencies and department specific education within established timeframes.
  • Completes annual employee health requirements within established timeframes.
  • Maintains license/certification, registration in good standing throughout fiscal year.
  • Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
  • Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
  • Adheres to regulatory agency requirements, survey process and compliance.
  • Complies with established organization and department policies.
  • Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience

  • The knowledge, skills and abilities as indicated below are normally acquired through the successful completion of a high school diploma or equivalent; with knowledge of accounting, bookkeeping, or related field. A minimum of one year of payroll processing experience utilizing an automated payroll system is required.

Knowledge & Skills

  • Requires the knowledge of payroll policies and procedures necessary to calculate adjustments/corrections to the payroll and answer team member inquiries.
  • Requires the knowledge of how Memorial's computer system and API processes payroll in order to perform the essential functions of the position.
  • Requires knowledge of federal and state regulatory issues related to wage and hour law and withholding of payroll taxes.
  • Demonstrates the ability to operate a variety of standard office equipment, including calculator, typewriter, on-line computer terminal, and personal computer to utilize spreadsheet (MS Excel) and word processing (MS Word) software programs.
  • Demonstrates the analytical ability to make the necessary calculations, balance records, prepare reports, etc.
  • Requires the ability to adhere to rigid schedules and deadlines.
  • Demonstrates the ability, and skills necessary to elicit cooperation and support from others and to interact tactfully and effectively with team members, superiors and other Hospital staff members.

  • Works in an office environment.

  • Requires the physical ability and stamina to perform the essential functions of the position.
