The Payroll Specialist supports accurate and timely payroll processing, reporting, and related administrative tasks for the organization. This role partners with internal teams to resolve payroll questions, maintain records, support compliance activities, and assist with payroll accounting processes. The ideal candidate is detail-oriented, organized, and able to manage multiple priorities in a fast-paced team environment.

As a Payroll Specialist on the People Services team, a typical day for you will include: 

  • Process payroll records accurately and on time across multiple states, including new hires, terminations, adjustments, deductions, 401(k) contributions, and applicable payroll tax, wage and hour, and jurisdictional requirements. 

  • Partner with supervisors and internal teams to confirm accurate timekeeping, pay reporting, and payroll-related information. 

  • Prepare, process, and distribute payroll checks, including manual checks and payroll adjustments as needed. 

  • Process weekly Davis-Bacon payroll for an average of 10 to 15 jobs, including filing required documentation with contractors for DOL reporting. 

  • Prepare payroll, billing, bonus, and accounting reports on a recurring and as-needed basis. 

  • Support month-end payroll and benefits accounting, including journal entries, general ledger activity, trial balance reconciliations, and cost allocations. 

  • Maintain payroll processing records and support internal and external audit, control, and evidence requests, including 401(k), payroll, tax, and compliance documentation. 

  • Support payroll-related activities tied to organizational changes, acquisitions, integrations, job changes, pay changes, and associate transitions. 

  • Manage payroll communications by monitoring the shared payroll inbox, responding timely, and escalating or rerouting issues as needed. 

  • Support payroll compliance and administration tasks, including garnishments, direct deposit corrections, pay card tasks, and other duties as assigned. 

  • Receive and process incoming payroll mail and coordinate internal mail transfers to the appropriate team or department.

Required Qualifications: 

  • High School Diploma (or equivalent) with 3+ years of payroll experience; equivalent combinations considered. 

  • Multi-state payroll and taxes, confidential data handling, and discrepancy research/resolution. 

  • Proficiency in MS Office (advanced Excel with pivot tables/VLOOKUP) and working knowledge of HRIS, payroll, or timekeeping systems. 

  • Strong organizational, communication, and problem-solving skills with high attention to detail and ability to manage competing deadlines. 

  • Independent worker, team player, and customer service-focused with a continuous improvement drive. 

Work Environment & Schedule: 

  • Full-time, Monday–Friday, 8:00 AM–5:00 PM CT. 

  • Hybrid work model 

  • Office locations: 1010 N. University Parks Drive, Waco, TX OR 500 East John Carpenter FWY, Irving, TX

  • Experience supporting payroll, 401(k), or benefits audits and reporting
  • Experience in shared services or high-volume payroll environments
