At Kepler, we know our people are our most valuable asset — and we’re growing fast! We’re looking for a Payroll Specialist to join our collaborative and dynamic team. In this role, you’ll work closely with our HR, Payroll, and Finance teams to ensure accurate payroll processing, maintain payroll records, and provide excellent support to employees. You’ll also play a key role in keeping our internal systems and data organized and up to date.

• Oversee the administrative aspects of payroll to ensure 100% accuracy and compliance.
• Process payroll changes and updates in our HRIS system.
• Partner with the HR team to maintain accurate employee data across systems.
• Serve as the first point of contact for employee payroll and tax-related inquiries.
• Maintain up-to-date payroll information in our knowledge base (Guru).
• Manage payroll shared drives, pay date folders, and reporting documentation.
• Maintain and update the tax notice tracker; assist in resolving tax notices as needed.
• Generate and format employee data reports (ad hoc and recurring).
• Prepare first drafts of payroll working files for each pay cycle.
• Review and reconcile employee expenses, time sheets, and PTO for payroll processing.
• Conduct regular audits of payroll data to ensure accuracy.
• Support quarter-end and year-end reconciliations and reporting.
• Act as a liaison with third-party payroll vendors and tax agencies.
• Assist with data validation and documentation as part of our HRIS implementation project.
• Provide support for global payroll processes as needed.

• 1–3 years of US payroll experience, ideally in a multi-state organization with 350+ employees.
• A high level of discretion and ability to handle sensitive information confidentially.

• Familiarity with US payroll practices, processes, and deadlines.
• Experience with payroll systems such as Paylocity and/or Paycom.
• Strong working knowledge of Excel, Google Sheets, and Gmail.
• Prior experience resolving US tax notices.
• Excellent data entry, reconciliation, and math skills.
• Understanding of current US payroll legislation and compliance requirements.
• Strong attention to detail and ability to stay organized across multiple priorities.
• Clear and effective written and verbal communication skills.
• A proactive mindset and eagerness to learn and grow.
