We are seeking a Payroll Administrator to support and execute the end-to-end processing of our US and UK payrolls. This role is responsible for accurate and timely payroll execution, payroll tax administration and filings, off-cycle payments and adjustments, W-2 and year-end corrections, and payroll reporting and reconciliation. In addition to payroll responsibilities, this position provides support for compensation analytics, administrative support to our benefits and wellness programs, and general administrative support to the broader Human Resources function, along with participation in projects and events across the organization. This is a hands-on, service-oriented role for someone who is comfortable moving between detailed processing work and general support of the associate experience.  

Key Responsibilities 

Payroll Processing – US & UK 

  • Process and administer multi-state US payroll and UK payroll on a full cycle basis in Workday, ensuring accuracy, timeliness, and compliance with applicable regulations. 

  • Review and validate payroll inputs, including new hires, terminations, job and compensation changes, time and attendance, commissions, bonuses, and other variable pay. 

  • Process off-cycle payments, retroactive pay, manual checks, gross-ups, final pay, and payroll adjustments in accordance with federal, state, and local requirements. 

  • Administer payroll deductions, including benefits, 401(k), garnishments, wage orders, and other employee elections. 

  • Partner with UK-based stakeholders on statutory payments, pension contributions, and local pay practices. 

  • Maintain payroll calendars and processing schedules for both regions, and ensure all submission deadlines are met. 

  • Serve as the primary point of contact for associate payroll inquiries, researching and resolving issues with professionalism and discretion. 

Payroll Tax & Compliance 

  • Administer payroll tax setup, withholding, and filings for federal, state, and local jurisdictions, including registration and maintenance of new tax jurisdictions as needed. 

  • Review and reconcile quarterly and annual tax filings; research and resolve agency notices, tax discrepancies, and amendment requests. 

  • Manage year-end payroll processing, including W-2 production, review, distribution, and W-2c corrections; support UK year-end reporting requirements. 

  • Ensure compliance with FLSA, multi-state wage and hour requirements, and UK statutory payroll obligations; escalate risks and recommend process corrections. 

  • Maintain payroll documentation, process guides, and audit-ready records; support internal and external audits, including 401(k), workers’ compensation, and financial audits. 

Reporting & Reconciliation 

  • Prepare and distribute recurring and ad hoc payroll reports for Human Resources, Finance, and leadership. 

  • Maintain accurate payroll and employee data in Workday, ensuring data integrity across HR, payroll, and benefits records. 

  • Use AI tools to accelerate data validation, reconciliation, and reporting, improving speed without sacrificing accuracy. 

Compensation Analytics 

  • Support compensation benchmarking and job matching in Payscale and Payfactors, maintaining accurate market matches. 

  • Support the maintenance of salary structures and pay ranges, including range placement analysis and internal equity comparisons. 

  • Prepare compensation data and reporting for merit planning, new hire offer analysis, and ad hoc requests from HR leadership. 

Benefits & Wellness Administrative Support 

  • Provide administrative support for benefits programs, including health, dental, vision, flexible spending accounts, life insurance, disability coverage, 401(k), and other ancillary benefits. 

  • Reconcile carrier invoices and premium billing against enrollment and payroll deduction records; research and resolve discrepancies with carriers and the broker. 

  • Respond to routine benefits inquiries and direct associates to the appropriate resources or contacts. 

  • Assist with the coordination and logistics of wellness programs and initiatives, including fitness challenges, mental health workshops, and wellness fairs. 

  • Support the development of communication materials that promote payroll, benefits, and wellness programs and encourage participation. 

General HR & Company Support 

  • Provide general administrative and operational support to the Human Resources team, including associate inquiries, onboarding support, and departmental coordination. 

  • Participate in and execute on projects, programs, and events across the organization. 

  • Identify and recommend opportunities to streamline, automate, and apply AI to payroll, benefits, compensation, and HR administrative processes. 

  • Perform other duties and special projects as assigned to support the evolving needs of the Human Resources team and the organization. 

Qualifications 

  • Bachelor’s degree in Accounting, Finance, Human Resources, or a related field; equivalent experience will be considered. 

  • 1–2 years of hands-on payroll processing experience, preferably including multi-state US payroll; exposure to international or UK payroll a plus. 

  • Working knowledge of payroll tax administration, including multi-jurisdiction withholding, quarterly and annual filings, agency notices, and W-2/W-2c corrections. 

  • Experience with Workday Payroll or a comparable HRIS/payroll platform; strong Excel skills (pivot tables, lookups, reconciliations). 

  • Understanding of employee benefits administration and how benefit elections flow through payroll. 

  • Interest in compensation data and analytics; exposure to Payscale, Payfactors, or comparable compensation tools a plus. 

  • Exceptional follow-through, attention to detail, and organizational skills — you manage complex, high-volume workflows accurately and nothing falls through the cracks. 

  • Excellent written and verbal communication skills and a strong service mindset. 

  • Proven ability to handle highly confidential and sensitive information with discretion and professionalism. 

  • Collaborative, team-oriented approach with a willingness to take on additional duties, projects, and events as business needs evolve.

Skills Required
