Job Description:
Summary
The Payment Specialist will provide administrative and clinical site payment support for clinical projects, contributing to the overall management of clinical trials in line with established guidelines, local regulations, and Standard Operating Procedures (SOPs). This role is responsible for daily site payment coordination and data entry related to project-specific activities.
Major Responsibilities:
- Provide project support to the Clinical Site Payments team.
- Verify and collect supporting documents and approvals for site invoices.
- Gather site-specific budget information and assist in maintaining budget intelligence tools.
- Prepare program and study status reports.
- Maintain a system to track the progress and status of clinical payments.
- Support the setup, access requests, and maintenance of project systems within Site Payments.
- Update payment-related data in the clinical payments platform, including coordination with internal and external team members as needed.
- Generate, format, and compile project-related data into reports as requested.
- Coordinate and track project workflows.
- Monitor payments owed to clinical investigative sites per the negotiated unit price in the clinical trial agreement.
- Collaborate with third-party site payment vendors to resolve payment discrepancies and historical issues.
- Assist in identifying potential sites and facilitate outreach activities for payment discrepancies and clarifications.
- Support the creation of Purchase Requisitions and the setup of Purchase Orders for investigative sites.
- Set up the Subject Visit Template (SVT) and Visit Cost Calculator in the Clinical Trial Management System (CTMS).
- Perform site payment reconciliations in partnership with the Clinical Operations Team.
- Manage the submission of invoices in the financial system, ensuring proper routing for review and approval while facilitating timely payment disbursement by Accounts Payable.
- Actively participate in various study meetings.
- Assist with the preparation and distribution of project-related correspondence, including agendas, meeting minutes, tracking spreadsheets, newsletters, and presentations.

Qualification Required:
Experience:
- Excellent research and analytical abilities and quantitative skills.
- Strong written and oral communication skills in English.
- High levels of organization and attention to detail.
- Ability to multi-task.
- Ability to work independently in a flexible business environment.
- Proficiency in using Microsoft Office, particularly Outlook, Word, Excel, Smartsheet and PowerPoint.
- Ability to process work with a high level of accuracy and on-time
- Desire to learn and expand
- Must be willing to work in a fast-paced environment with time sensitive materials.
- Demonstrated ability to work effectively at all levels of an organization.
- Ability to work independently, prioritize and work in a team environment is essential
- Perform other administrative duties as assigned
Preferential Experience:
- Fluent written and oral communication skills in Japanese.
- Experience using Power BI.
- Experience using Electronic Data Capture (EDC)
