Position: Executive Administrator, Senior - FAA

Function: Administrative

Job Summary

This position will provide experienced Executive Administration support to the Federal Aviation Administration (FAA).

Relevant Experience

At least 10+ years of relevant experience in program meeting and administrative support. FAA Experience is stronly preferred, as well as a working knowledge of the AJW program.

Essential Job Functions

The following duties are normal for this position. The omission of specific statements of duties does not exclude them from this position if the work is similar, related, and/or a logical assignment for this position. Other duties may be required and assigned.

General Support

  • Provide direct, daily support to the Director, Deputy Director, and Group Managers.
  • Develop communication and correspondence with stakeholders related to meet and execute program objectives
  • Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, solving problems, and adjusting plans as necessary.
  • Provide information by answering questions and requests.
  • Proactively contribute to team effort by prioritizing work, interpreting work needs, accomplishing tasks, and meeting deadlines.
  • Organize and assist with planning and directing team work among subject matter experts and/or project leads.
  • Develop document and template formats, including a weekly status briefing packages, to support more efficient communication across various layers of the organization.
  • Conduct evaluations of planning requirements while maintaining briefing materials for group managers
  • Participate in meetings, determine required outcomes, and document action items.
  • Support resource management tasks assigned by the client.
  • Support the development of automated tools for inventory process and the ordering and tracking of telecommunication services.
  • Learn data elements and flows involved throughout the service administration lifecycle from inventory, through ordering, tracking, site and other physical cutover coordination with contractors and telecos, service turn-up and cutover, invoicing, disputes, etc.
  • Gather, interpret and use complex data to develop actionable steps that will improve process and optimize result.
  • Collaborate with others on the execution of an implementation, work plan, and/or strategic initiative.
  • Summarize insights from analysis and clearly communicate analytical findings.
  • Develop communication plans and briefing materials using various software tools.
  • Provide technical writing assistance to organize and translate complex data into clear and usable information.



Education Requirements

Bachelor's degree (or equivalent experience)

Master's degree is a plus and may count as additional years of experience.

  • Exceptional organizational skills with the ability to encourage the compliance of others
  • Skilled in situational and procedural analysis to advise process improvements
  • Aptitude for imaginative problem solving
  • Proactive, strong work ethic with ability to work independently and prioritize tasks
  • Strong MS Office skills with an emphasis on PowerPoint, Word and Excel
  • Fosters strong interpersonal relationships amongst the program managers to build trust and sense of shared accountability on the team to drive success through assisting in tracking program accomplishments and action items.



Security Requirements

Must be a US citizen or a legal resident for three of the past five years

Must meet eligibility requirements for a US Public Trust security clearance

Travel

Occasional travel required as needed by client/s and/or company
