Job Description

The Operations Support Coordinator provides administrative and operational support to ensure the efficient execution of project and field operations activities. This role is responsible for coordinating schedules, maintaining project documentation, tracking operational metrics, assisting with resource allocation, supporting compliance requirements, and facilitating communication between internal departments. The Operations Coordinator serves as a central point of coordination for operational activities and helps ensure projects are completed on schedule and in accordance with company policies and procedures.

Responsibilities

  • Coordinate and maintain project schedules, workforce assignments, and operational calendars.
  • Monitor and update project tracking systems, databases, and reporting tools to ensure accurate and timely information.
  • Prepare, organize, and maintain project documentation, reports, spreadsheets, and records.
  • Assist with the coordination of labor, equipment, materials, and other resources required to support field operations.
  • Process and review employee timesheets, expense reports, and operational data for accuracy and completeness.
  • Support safety and compliance initiatives by maintaining required documentation, certifications, and training records.
  • Track project budgets, labor hours, and key performance indicators and provide routine reports to management.
  • Assist with purchase requisitions, work orders, invoicing support, and other administrative processes.
  • Coordinate communication between operations teams, internal departments, subcontractors, and vendors.
  • Support onboarding activities, training coordination, and personnel record maintenance for field employees.
  • Schedule meetings, prepare agendas, record meeting notes, and distribute action items as needed.
  • Identify process improvement opportunities and assist with implementing operational efficiencies.
  • Perform other administrative and operational support duties as assigned.

Qualifications

  • Associate degree preferred; equivalent work experience may be considered.
  • 2-5 years of experience in operations coordination, project administration, workforce coordination, office administration, or a related field.
  • Experience supporting construction, telecommunications, utility, manufacturing, or field service operations preferred.
  • Strong proficiency in Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and Teams.
  • Experience maintaining databases, reports, schedules, and project tracking tools.
  • Demonstrated ability to manage multiple tasks, priorities, and deadlines with minimal supervision.
  • Strong organizational and record-keeping skills.
  • Valid driver's license may be required based on business needs.

Working Conditions

  • Primarily office-based with occasional visits to operational or project sites as needed.
  • Frequent use of computers, telephones, and standard office equipment.
  • General hours are Monday through Friday, 8:00 a.m. to 5:00 p.m.; occasional flexibility may be required to support business needs.
  • Limited regional travel may be required.
  • Must be authorized to work in the United States.
