The Agency Operations Specialist has responsibility for securing and filing the required surplus lines documents, tax filings, and payments mandated by the department of insurance to be in compliant with the state’s rules and regulations. This position will be responsible for day-to-day accounting functions within the ProAssurance Agency along with the required reports for Corporate Accounting and Agency management on a monthly, quarterly, and annual basis. It is the responsibility of the Agency Operation Specialist to ensure the operating manuals and procedural documents remains current for accounting. This position will be the point person on the agency management system with any updates and notifying the agency staff of any changes to the system. This position will be responsible for maintaining, creating, or formatting any necessary reports from the management system that is required by corporate accounting or agency management. This position may oversee and train operation support staff with any accounting functions/reports to verify accuracy.

What you'll do:

55% - Compliance Functions:

  • Prepare and file monthly, quarterly, semi-annual, and annual surplus lines filing and tax payments for IAO, Inc., and Hamilton Resources within the mandated time restraints to be in compliant with the rules and regulations of each surplus lines’ insurance department (IAO, Inc., and Hamilton Resources).
  • Audit, secure, and maintain the necessary documents for each state from the account executives (IAO, Inc., and Hamilton Resources).
  • Create and maintain an excel sheet that reflects the documents required of each state and the due dates of the filings.
  • Knowledgeable of the changes for each State with taxes and filings.
  • Work with the different States to rectify any issues or questions.

20% - Accounting Functions day-to-day basis:

  • Accurately maintain all accounting functions within the agency with the account receivables, payables, agency/broker commissions and statements.
  • Process the payables through Workday and understand the accounting process through Workday.
  • Process premium/refund transfer requests to pay different ProAssurance Companies and ProAssurance Corporate Insurance payments/refunds.
  • Monitors, runs, and reviews daily accounting transaction reports and other reports as needed.
  • Responsible for agency collections, including maintaining relationships with sub-agents/brokers to collect premium payments in a timely manner.
  • Ensure aged receivables are processed timely.
  • May provide leadership to administrative operation employees on training with Epic, Workday, and accounting functions.

15% - Accounting Functions Monthly, Quarterly, and Annual basis:

  • Interacts with corporate accounting department to ensure they receive month-end, quarter-end, and annual reports on a timely manner.
  • Maintain all supporting documents and reports to verify the reconciliation with corporate accounting.
  • Prepare monthly, quarterly, and annual reports for agency management that entails the production, new business, and revenues for the agency.
  • Responsible for creating or formatting any necessary reports from the management system that is required by corporate accounting or agency management.

10% - Agency Management Policy System (Epic) Functions:

  • Point person on the agency management system with any updates and notifying the agency staff of any changes.
  • Make any necessary changes in the system due to the updates with security rights or user options.
  • Ensure the operating manuals and procedural documents remains current for accounting.
  • Perform special projects and support agency team members as directed by management.

What we're looking for:

  • High school diploma required. An associate or bachelor’s degree (accounting, finance, or related field) from an accredited institution preferred.
  • Minimum of five years of relevant experience in agency compliance operations, accounts payable, receivable and/or bookkeeping is required.
  • Experience in an insurance company/agency environment is highly required.
  • Demonstrate strong interpersonal and relationship management skills.
  • Self-starter with excellent organizational skills.
  • Effective and professional communication skills.
  • High degree of accountability to prioritize work, meet deadlines, and reach goals.
  • Experience with Microsoft Office Suite.
  • Strong interpersonal, collaboration, verbal, and written communication skills.
  • Excellent organizational skills, attention to detail, ability to work independently.
  • Independent judgment is required to plan, prioritize, and organize a diversified workload in a fast-paced environment.

Position Salary Range$25.17 - $41.54The salary range displayed represents the entirety of the pay grade for this position. Most candidates will start in the bottom half of the range. Factors that may be used to determine your actual salary include your specific skills, how many years of experience you have, your location and comparison to other team members already in this role.
